Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Assistant for the Department of Psychiatric Rehabilitation & Counseling Professions within the School of Health Professions. Under direction, the Program Assistant assists with the development, implementation and monitoring of activities within the Center for Comprehensive School Mental Health ( CCSMH ). The Program Assistant provides administrative and program support to the Principal Investigator, Director, faculty, and professional staff.
Among the key duties of this position are the following:
  • Prepares reports and official correspondence on behalf of the CCSMH . Responds to inquiries as directed and distributes informational materials according to University policy and practice.
  • Identifies vendors for technical services, furniture, equipment, and supplies. Researches major purchases and makes recommendations for purchases.
  • Coordinates fiscal procedures and maintains records associated with grant accounts and state budgets in coordination with Department’s grant manager.
  • Supports the preparation of grant proposals by gathering and organizing documents, produces tables and spreadsheets for inclusion, and uploads documents in grant submission software.
  • Oversees payment for travel and meeting expenses.
  • Responsible for coordinating CCSMH events calendar, including trainings, webinars, technical assistance meetings, etc., and securing needed supports (e.g., IT support, parking, event locations).
  • Tracks budgets for programs and ensures funds are utilized according to policy and regulations.

Minimum Education and Experience
  • Bachelor’s Degree in Business Administration, Social Science or a related discipline, plus one (1) year of related experience in a business office, government agency or university setting required.
