This is a Part-Time role, working up to 28 hours per week. The office location is at CNL. You will be required to maintain a professional appearance and attire as this is a front desk receptionist position greeting guest and staff.
A quick summary about the Part Time Office Services Assistant role:
The primary responsibility of the Office Services Assistant is to answer and direct calls, validate parking, greet visitors, and assist staff; as well as perform a wide range of general office duties to ensure the efficient and effective operation of all department functions and backfill coverage for the Office Services team as needed. This includes handling mail/packages, coordinating vendors and other duties as assigned.
What the Part Time Office Services Assistant will be responsible for:
- Order and distribute office supplies as needed.
- Inventory/Distribute first aid supplies as needed.
- Assist with office moves and reconfigurations as needed.
- Emailing Welcome email/package to New Hires
- Ensure the timely opening and closing of the Orlando Magic Office reception area daily.
- Receive and distribute items delivered to Staff/Guest Hospitality area, per protocol.
- Validating parking for staff and guests
- Coordinate work orders for repairs/services.
- Answer any incoming telephone calls in a professional and courteous manner.
- All other duties as assigned.
- Maintain general cleanliness and organization of workspace.
- Provide office support to staff and guests.
- Restock break rooms on all floors with coffee/supplies as needed.
- Submitting Visitors and Vendors requests as needed
- Ordering supplies for department and for staff (Service Now requests).
- Assist Office Services Manager with other duties as needed/instructed.
- Greet and interface with internal/external customers and the public in a friendly and professional manner.
- Ordering name tags and business cards for staff (Service Now requests and New Hires)
What the Part Time Office Services Assistant needs to have:
- Ability to meet tight deadlines and work well under pressure.
- Ability to prioritize and manage multiple tasks/projects.
- Friendly personality with a desire to provide legendary service to staff and guests.
- One year of administration experience is required.
- Proficient in all Microsoft Office products and other related computer skills required.
- Excellent ability to establish rapport with others and ability to build strong interpersonal relationships.
- Exhibit good judgment and decision-making skills.
- Strong organizational skills, time management skills and attention to detail required.
- Strong verbal and written communication skills with an emphasis on business writing skills.
Physical requirements
- Daily walking across expanse of office space is required.
- Heavy lifting often required; up to 50 lbs.
- Movement of heavy shipments may be required.
