Job Description

Job Summary:

We are seeking a motivated and versatile individual to join our team as a Paralegal/Executive Assistant. This role requires a dynamic professional who possesses a go-getter attitude, high drive, and exceptional organizational skills. The ideal candidate will be proactive, efficient, and detail-oriented, with the ability to handle a diverse range of tasks while maintaining a laid-back and approachable demeanor. Responsibilities:

  1. Legal Support:
  • Assist in scheduling and preparing for client meetings, depositions, and court appearances.
  • Monitor and track legal deadlines, ensuring timely completion of tasks.
  • Organize and maintain legal files, ensuring all documents are accurately filed and easily accessible.
  • Collaborate with attorneys to prepare for trials, including organizing exhibits, witnesses, and necessary documents.
  • Assist with drafting and reviewing legal documents, including contracts, briefs, and pleadings.
  • Conduct thorough research and gather relevant information to assist in legal case preparations.
  1. Administrative Assistance:
  • Prepare and proofread correspondence, reports, and presentations, ensuring accuracy and professionalism.
  • Coordinate and oversee special projects, ensuring their timely completion and high-quality results.
  • Provide comprehensive executive-level support to assigned professionals, including managing calendars, scheduling appointments, and coordinating travel arrangements.
  • Screen and handle incoming calls and correspondence, prioritizing and redirecting as necessary.
  • Manage confidential information with utmost discretion and maintain strict confidentiality at all times.
  1. Communication and Relationship Building:
  • Act as a liaison between clients, internal teams, and external stakeholders, ensuring effective and timely communication.
  • Respond promptly to inquiries and provide excellent customer service, demonstrating a friendly and approachable demeanor.
  • Maintain positive and professional relationships with clients, colleagues, and external partners.
  • Facilitate effective collaboration and communication within the legal team and across departments.

Qualifications:

  • Proven experience as a paralegal or executive assistant in a fast-paced environment.
  • Bachelor's degree in a related field or equivalent work experience.
  • Exceptional organizational skills and the ability to manage multiple tasks and priorities simultaneously.
  • Demonstrated ability to maintain composure and adapt to changing priorities in a dynamic work environment.
  • Proficiency in using legal research tools, document management systems, and MS Office Suite.
  • Professional and friendly demeanor with the ability to build rapport with diverse stakeholders.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Ability to exercise sound judgment and discretion when handling confidential information.
  • Strong knowledge of legal terminology, processes, and documentation.
