Job Description

Summary:

The Operations Manager ensures smooth and uninterrupted productivity throughout the organization, while strictly following company procedures. You will closely collaborate with the VP of Operations to efficiently manage all operational aspects, demonstrating professionalism, ethical conduct, and sound decision-making. Reporting directly to the VP of Operations, you will coordinate resource management, optimize efficiency, and maintain high-quality standards. This will require close collaboration with both the staff and clients, ensuring that resources are effectively utilized and that all operations align with established quality guidelines.

Under your direction, we will be a hands-on partner in meeting the sometimes difficult and painful challenges of providing quality instruction and services.


We focus on building innovative and sustainable programs that fully use data and technology tools, offering targeted support and consulting to schools, districts, charter schools, and County Offices of Education.


Requirements:

  • Experience supervising staff both onsite & offsite. (Preferred)
  • Must maintain valid CA auto insurance.
  • CA State & Federal Live Scan (required)
  • Bilingual- Spanish (preferred)
  • Bachelor’s Degree Required (Master’s degree Preferred)
  • Valid Driver’s license
  • Prior experience in Special Education- SPED (preferred)
  • Must be able to travel locally. (Required)
  • Tuberculosis “TB” Clearance (Required within the past four years)
  • At least 5 years of office management, including supervisory responsibilities overseeing a team of 5 or more.

Role Objective:


  • Track staffing requirements, hiring new employees as needed.
  • Perform other duties/tasks as assigned.
  • Increase the efficiency of existing processes and procedures to enhance the company’s internal capacity.
  • Lead and/or support special projects.
  • Maintain consistent communication with managers, staff, and clients to promote productivity and maintain procedural transparency.
  • Support developing and implementing company-wide systems and procedures that ensure operational excellence.
  • Ability to work effectively with staff in a tactful and professional manner to maximize suite operations.
  • Maintain and promote operational efficiency and organizational health.
  • Ensure that operational activities remain on time and within budget.
  • Develop, implement, and maintain quality assurance protocols.

Responsibilities:


  • Conduct cost-effective data analysis to identify trends and draw meaningful conclusions, presenting results and recommendations to the supervisor.
  • Perform other job-related duties as needed or assigned.
  • Serve as a proactive liaison between supervisors and their subordinates, ensuring effective communication of information, assignments, priorities, and special requests.
  • Streamline and coordinate ongoing compliance training programs, ensuring employees are well-informed and up-to-date.
  • Monitors the status of pending items and follows up.
  • Contribute to developing, coordinating, and implementing department policies and procedures.
  • Partner with management or subordinates to resolve personnel complaints or grievances.
  • Strategically plan and allocate work schedules and assignments for optimal effectiveness.
  • Act as point of contact in the absence of the Vice President of Operations.
  • Cultivate a positive work environment that nurtures the company culture, promotes open communication, encourages collaboration and teamwork, fosters a sense of belonging, and establishes clear performance expectations.
  • Skillfully compose and prepare various written documents, reports, and correspondence for the office, such as memos, letters, presentations, and spreadsheets.
  • Develops forms, flowcharts, and systems requirements for information and training, as required.
  • Establishes and organizes office standards and procedures.
  • Conduct regular organizational health assessments in collaboration with client partners and provide comprehensive reports to internal and external stakeholders.
  • Read and analyze charts, schedules, and other records and reports to determine requirements of operations.
  • Ensure strict adherence to all relevant regulations, policies, and licensing requirements, maintaining a compliant work environment.
  • Work closely with HR, Payroll, and Tech departments to ensure that activities remain compliant.
  • Record-keeping of employees' attendance and hours worked.
  • Ability to work effectively as a member of a team to provide efficient operations.
  • Plan and coordinate staff schedules to ensure adequate coverage for all company and client sites.
  • Reviews, analyze, and makes recommendations to supervisors regarding requests submitted by departmental staff and personnel requests.
  • Researches, gathers, organizes, and summarizes data for reports.
  • Foster a collaborative and communicative team environment that drives high employee engagement with the Company.
  • Collaborate with cross-functional teams to enhance proprietary tools and systems, focusing on cost-effective and tactful improvements.
  • Collaborate closely with the Administrator to strategically plan, execute, and manage team-wide events, such as professional development sessions, team-building activities, and community occasions.
  • Oversee the execution of planned daily, weekly, and monthly events.
  • Monitors and approves employees' PTO and Sick time, ensuring accurate tracking and compliance.

Salary Range: $74,000 - $105,000

Individual compensation packages are based on various factors unique to each candidate, including skill set, experience, qualifications, geography, and other job-related reasons.
