GENERAL SUMMARY/ OVERVIEW STATEMENT:
Under the general direction of the Care Continuum Management Senior Director, and in collaboration with Care Continuum Management Director team, the Operations Manager is responsible for a variety of operations, administrative, and financial functions. The Operations Manager has responsibility for Operations/Finance, Data Management, Data Collection and Reporting, and Performance Improvement. As a key member of the Care Continuum Management Team, the Operations Manager takes a proactive role in the efficient operations of the department. This role will also be responsible for the coordination and monitoring of schedules, payroll, and other systems to support the department.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
OPERATIONS AND FINANCE:
- Works with the Director and Senior Administrative Director to develop and maintain systems for collecting information to measure department productivity and performance on core metrics. Reports findings to Director and initiates plan as appropriate.
- Collaborates with CCM Directors and Medical Director to support Brigham Health’s Utilization Management program, which spans BWH, BWF, and DFCI and includes managing UM committees and new initiatives, and, overseeing UM daily operations to manage clinical denials and clinical reviews, demonstrating knowledge of regulatory guidelines, specifically as it relates to Utilization Management Conditions of Participation.
- Completes monthly schedule for all CCM roles and enters data for Nursing schedules and actual staffing into One Staff system; completes daily assignment, managing vacation requests, and works with Directors and CCM leadership to ensure assignments are covered.
- Maintains staff records (i.e. use of sick time, FMLA, per diems, time schedules, staff turnover, license renewal, in-services/competencies, educational records).
- Assists with the collection and analysis of budget information as it relates to operations (e.g. overtime, traveler utilization).
- Approves weekly payroll(s).
- Meets with Senior Director of Administration on a frequent basis and as needed to ensure consistency of processes.
DATA MANAGEMENT AND PERFORMANCE IMPROVEMENT:
- Manages relevant databases, produces operational reports, maintaining and auditing data to ensure quality control on systems. Primary systems include scheduling, payroll, and Epic reporting and lists.
- Contributes to the development of policies, procedures and systems which assure the effective operational functioning of the unit.
- Produces and maintains management data related to the operational needs and projects.
- With oversight, creates new reports or lists in Epic that support effective operations of the department.
- Participates in performance improvement projects with a focus on improving operational efficiency.
MATERIALS MANAGEMENT/EQUIPMENT/SPACE & TECHNOLOGY:
- Establishes and maintains levels of regular supply items’
- Ensures that equipment is safe and in proper working condition in coordination with other departments.
- Maintains accurate inventory of equipment essential to department.
- Obtains information and completes planning on new products/technology; facilitates the introduction of new equipment/supplies.
- Generates requests based on department needs.
- Maintains seating plans and coordinates seating for new hires.
OTHER DUTIES:
- Participates on CCM, Hospital, or Partner’s Healthcare System teams, as appropriate.
- Assists CCM Management in creating and implementing systems with filing and distribution of information (i.e. policy changes, announcements, staff meeting minutes and maintains bulletin boards, email lists, and manuals.)
- Completes special projects. Develops and participates in projects to enhance operations.
- Performs other duties, as assigned.
QUALIFICATIONS
Required:
- 5+ years of equivalent systems, management, or data skills may be substituted for a bachelor’s degree.
- Strong analytical, organizational, interpersonal and demonstrated customer service skills required.
- 2 years of healthcare or related experience.
- Bachelor's Degree required.
Preferred:
- Utilization review or utilization management experience.
- Project management experience.
