Job Description

POSITION OVERVIEW:

Full-time remote position working during normal business hours. The Operations Coordinator-Transactions is a fast- paced position and is responsible for maintaining a transaction database, invoicing, and processing commissions, maintaining electronic deal files, monthly reporting, liaison with corporate accounting, and other tasks as assigned to ensure compliance with established corporate guidelines and consistency with company policies. This position may have the following responsibilities for multiple offices in multiple states.


Principal Responsibilities

Transaction Data Management

  • Generate and prepare both routine and on-demand reports from transaction database
  • Complete quality data checks before database closes each month
  • Contact salespeople on a regular basis (monthly at minimum) to update get transaction updates
  • Prepare and maintain electronic deal files with all transactional documents required by the department of real estate
  • Keep transaction database accurate and updated, which includes extracting data from leases, contracts and commission agreements to ensure all fields are completed for accurate and thorough reporting

Commission Coordination

  • Process commission payments by providing required back-up documents to accounting
  • Monitor commission receivables regularly, as well as preparing monthly aging report to ensure collection procedures are followed for past due accounts
  • Prepare and send invoices for commissions due on completed transactions
  • Ensure transaction/commission issues with accounting are handled according to established guidelines and deadlines
  • Prepare form for each transaction to confirm broker splits and route for signatures

Requirements

  • Logic and reasoning skills (will be tested) – and ability to figure things out and provide solutions to problems
  • Strong MS Office skills (intermediate Outlook, Excel and Word at minimum) and software skills will be tested
  • Salesforce experience preferred, as company-specific software is built on a Salesforce platform.
  • Manage multiple projects and prioritize tasks effectively to meet deadlines in a fast-paced work environment
  • Minimum five years professional experience – Bachelor degree preferred
  • Possess superior attention to detail
  • Minimum three years commercial real estate experience
  • Ability to be disciplined to work during normal business hours
  • Organizational and efficiency skills essential; must be willing to embrace established work process
  • Excellent verbal and written communication skills; Interact effectively with all levels of the organization
