Operations Coordinator- Dance
EMPIRE is an independent label, born and grown out of the Bay Area. We have grown to become the largest independent record label in the U.S., with a significant global presence covering Africa, Asia, Europe, Australia and North and South America.
EMPIRE is looking for the perfect candidate to be the Head of Dance’s “right-hand person”. They filter and attend to the day-to-day functions that are part of the Executive’s role so that the Executive can focus on the high-level leadership and strategy functions.
We’re looking for an Operations Coordinator to support the Executive responsible for Marketing, A&R, Sales and Label Management for the Dance division. This role will coordinate and manage executive scheduling, prepare and organize important legal and strategic materials and plans, and support board meetings and the preparation of board materials. This role serves as the eyes and ears for the Executive. The role entails connecting organizations, projects, and critical business information and ensuring meetings and materials are efficient and effective as well as serve as a trusted partner to deliver against the legal priorities of the business.
The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the Executive’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team, and leaders that report to the Executive.
To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.
What you’ll be doing
- Coordinate travel arrangements
- Assist with the administrative and day to day duties of the Marketing department
- Manage scheduling for company Executive
- Use analytics to generate weekly reports, conduct research, and analyze data for various departments of the company.
- Collaborate with other departments including A&R, Finance, Radio etc.
- Maintain various records and documents for company Executive
- Any additional duties as assigned
- Manage audio and video release schedule
- Manage artist promo schedules, coordinate artist travel & track artist growth
- Work with PMs and and external companies to create campaigns needed for specific marketing initiatives
- Distribute marketing agendas and record meeting notes
- Draft, review and send communications on behalf of company Executive
- Communicate marketing drivers and pitch information for upcoming releases to digital streaming partners
- Manage quarterly budget for roster
- Prioritize emails and respond when necessary
- Create and update all one-sheets, timelines, quote sheets, and any other project-related documents
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Assist with the implementation of various marketing campaigns

- Live in San Francisco area or willing to relocate
- Strong interpersonal and communication skills
- You're not afraid to ask questions and learn as you work
