About This Role:

We are seeking a highly organized and detail-oriented Operations Specialist to make a valuable contribution to the growth of our studio. As an Operations Specialist you will have the opportunity to create frameworks, help build our studio, and have a lasting impact across multiple disciplines. This role is remote and will report directly to the Director of Studio Operations


Responsibilities:

  • Manage schedules, including coordinating and scheduling appointments and meetings.
  • Perform administrative tasks and services to support effective and efficient operations of a first-party studio.
  • Working on various assignments that are complex in nature where considerable judgment and initiative are needed in resolving problems and making recommendations.
  • Coordinate and organize events and meetings, including preparing agendas, taking minutes, and distributing materials.
  • Prepare and submit expense reports
  • Handle confidential information with discretion and maintain a high degree of professionalism
  • Handle contract processing, procurement, payments to vendors, suppliers, and contractors, business travel planning, invoice and reimbursement processing, etc.
  • Partner with corporate legal, HR, Recruiting, IT, business leaders, and key stakeholders to ensure effective communications and collaboration.
  • Assist with planning and execution of special events and activities, such as organization-wide meetings, employee recognition events, team-building activities, holiday parties , etc.
  • Serve as the first point of contact for internal and external inquiries, including screening and redirecting calls and emails.


Qualifications:

  • Proficient in Microsoft Office Suite and Google Workspace
  • Ability to thrive in dynamic work environments; agility and flexibility in response to changing priorities and needs.
  • Ability to work independently and proactively, anticipating the needs of executives and taking initiative to complete tasks
  • Experience with GreenHouse and or Workday a plus
  • 3- 5 years of relevant experience in an Operations, Executive Admin, Human Resources, or Recruiting function
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong attention to detail and ability to maintain a high level of accuracy.
  • Fluency in Mandarin a plus
  • Strong communication and interpersonal skills, with the ability to build relationships with a wide range of stakeholders.
  • Self-motivated and adaptable with strong problem-solving skills with an eagerness to learn new software and develop skill sets.
  • Bachelor's degree or equivalent experience preferred
