Role and Responsibilities
MEMBERSHIP DUTIES
• Supervise, assist, and promote membership.
• Maintain membership records.
• Increase membership at all levels.
• Communication with professional and student chapters
SPONSORSHIP
• Contact with sponsor (companies/Private/Public entities)
• Maintain records of sponsor contacts
EVENTS
• Should have marketing knowledge.
• Develop programs and supervise the production of all HDA events.
• Maintain budgets for all events and ensure that budgets are followed.
• Assist and maintain adequate marketing campaigns for all events.
• Supervise all events, staff and additional workforce assisting in the event.
• Coordinate arrangements and contracts with speakers and other event participants
• Review contracts and make sure that guidelines are followed.
GENERAL OFFICE DUTIES
• Correspondence (mail/electronic)
• Email
• Telephone
• Archives – Record maintenance
• Observe / Maintain deadlines.
• Organization
BOARD OF TRUSTEES
• Schedule and attend meetings.
• Assist Secretary with minutes.
• Participate in committee meetings, to affirm that committees stay on track with goals.
• Maintain board member records and photo library.
STAFF
• Manage payroll, tax documentation and employee records.
• Review and pay accounts payable.
• Assist on hiring and dismissal of staff.
• Supervise, onboard, and evaluate staff.
• Communicate with independent contractors and bring to Executive Committees attention any deviations from expectations and desired results.
FINANCE
• Understand financial and budget for all areas concerning the HDA.
• Assure that all bills have been paid and accounts are in order.
• Maintain communications with bookkeeper and CPA for maintenance of all financial functions, IRS returns or audits.
COMMUNICATION
• Manage and maintain website operation and actualization.
• Maintain weekly communication with President and ED&CEO
• Maintain communication with all committee chairs.
• Maintain communication with other associations.
• Maintain communication with chapter leaders.
• Maintain communication with membership.
• Ensure proper marketing of events, activities, education, etc.
Qualifications and Education Requirements
Microsoft Office, or equivalent, competency including Excel, Word, and Power Point
Preferred Skills
Management supervision and financial oversight of operations.
Collaborative Leadership and willingness to adapt to new challenges.
Should have ability to review and write grants.
Fluent in Spanish and English languages
