Job Description

The primary focus of the Onboarding Analyst Manager is to manage and lead their team in bringing new clients into our VC3 services accurately, thoroughly, and efficiently. With that, the Onboarding Analyst Manager must be able to deliver effective leadership, strategy, follow up and direction that aligns with the overall goals of the company. We must continually train and educate employees on why our people, process and technology standards exist and how it benefits our clients and VC3.

Key Responsibilities

  • Act as an escalation point for client and process issues.
  • Ensure quality administrative results from your team. For example, real-time time entry, timely submission of timesheets and expenses, frequent and business appropriate client communications, and overall preventability.
  • Manage client offboarding process.
  • Understand and follow “The VC3 Way”. This is our set of standards and processes that produce a predictable result for the client. You must be aware of and maintain our standard.
  • Review current and new onboarding tools and constantly drive efficiencies.
  • Work cross departmentally with staff and leaders within other teams to ensure defined expectations of the Onboarding Analyst position are being met.
  • Perform employee reviews, manage headcount, hiring and overall HR management for your team.
  • Conduct one on one meetings with staff to ensure objectives are clear, progress is tracked, and results are reviewed, to instill a culture of high performance.
  • Manage team performance and tools to meet or exceed KPIs while building a culture of continuous improvement via feedback, coaching and staff development.
  • Responsible for scheduling, time and utilization management of team members ensuring every hour is a profitable hour and that workflows and procedures are being followed.
  • Lead by example by participating in large or complex client onboardings.
Additional Responsibilities:
  • Ensure quality administrative results from your team. For example, real-time time entry, timely submission of timesheets and expenses, frequent and business appropriate client communications, and overall presentability.
  • Where appropriate, escalate complicated issues to a more senior resource or other appropriate teams
  • Be a leader within the company, attending staff events, participating in meetings, encouraging a positive morale and holding all employees accountable. Set the example to follow for client service.
  • Receive mentoring and feedback from peers and others
  • Review Tickets with Manager
  • Attend monthly training & team meetings as required.
  • Actively Participate in Team Huddles, L10 Meetings, One on One Meetings, and any other Team Meetings
  • Maintain accurate and up to date documentation through the change management processes.
  • Create and update documentation when changes or occur, or when discoveries are made

Skills, Knowledge & Expertise

  • Excellent client service skills, with the ability to create/cultivate trust relationships with clients and co-workers and remain calm in stressful circumstances.

  • Experience in business analysis and a good understanding of financial concepts.

  • At least 2 years experience in managing and working with the following technologies:
    • Windows Server
    • Cloud environments including Microsoft 365

    • GPOs
    • Routing and Switching
    • Firewalls
    • VPNs
    • Virus and Security
    • LAN/WAN Technologies
    • Virtualization Technologies
  • Self-motivated, detail orientated, highly organized and able to handle a variety of tasks and responsibilities in an efficient manner with a high level of quality
  • 3+ years relevant technical experience is required.

  • At least 2 years relevant IT experience fully supporting client environments.
  • Cloud environments including Microsoft 365
  • 3+ years relevant management or leadership experience is required OR completion of VC3 leadership academy.

  • Good problem solving and decision-making skills; ability to understand and analyze complex issues
  • Windows Server
  • VPNs
  • Very strong interpersonal and communication skills with the ability to build effective working relationships, solicit co-operation and resolve conflicts with a variety of stakeholders both internally and externally.
