Summary of Work


At the North Dakota Department of Transportation, we owe our success to our people and processes. As the Office Manager in our Materials and Research Division, you will be a supportive force and an integral team member, keeping office operations organized and efficient. The ideal person for this position will be a problem solver with excellent communication skills and impeccable attention to detail. They will have previous experience working in an office environment, performing administrative tasks, and providing support to coworkers. The ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position. Your duties will include managing:


Divisions Finances:

  • Track, monitor and pay for services, supplies, equipment, and utilities.
  • Monitor and report on staff expenses.
  • Assist with monitoring, planning, and proposing the division budget.
  • Understand and apply state purchasing and procurement procedures and policies.

Contracts with Universities and other entities:

  • Understand and apply contract management policies and procedures.
  • Ensure compliance with contract requirements, funding, breakdowns, and billing processes and submit status reports.
  • Coordinate with others in the department to manage the divisions contracts.
  • Understand and apply subrecipient monitoring and management procedures.

Research Library and Assist with AASHTO Lab Accreditation and the Field Sampling and Testing Manual:

  • Assist with changes to the Field Sampling and Testing Manual and public on the department website.
  • Provide support with finding and getting access to technical manuals, standards, and research reports.
  • Assist in maintaining AASHTO Laboratory Accreditation records and manuals to ensure compliance.
  • Serve as the Department’s technical resource librarian.

General Office and Laboratory Responsibilities:

  • Maintain division office and laboratory supplies.
  • Assist with new hires, training, status changes, and retirements.
  • Oversee the Title VI and Title VII program, provide training and report on the programs.
  • Maintain and update records, forms, and record retention policies and procedures.
  • Provide general office support.

Minimum Qualifications

  • College-level course work in business administration, or a related field with course work reflecting the required abilities, may be substituted for the required work experience on a year-for-year basis.
  • Requires five years of work experience in high-level administrative support duties that included participation in the development or modification, of major projects or procedures.
  • Work experience must reflect an ability to conduct research, provide analysis and interpretation of information, and prepare formal reports.

Requires satisfactory completion of the interview process and a verifiable record of satisfactory performance in previous employment. Employment is contingent upon the results of a criminal background check.
