Company and Vision
- Coordinate office maintenance and repairs, including scheduling service calls and following up with vendors.
- Manage security cameras.
- Act as a liaison between employees and management, addressing concerns and resolving issues in a timely manner.
- Act as safety coordinator across all offices, setting up committees and ensuring safety practices are followed at all locations including emergency procedures and response plans, evacuation drills and first aid training.
- Manage event budget & planning company events in coordination with other office locations.
- Fill in for Office Admin at front desk during breaks, lunch periods and other absences.
- Manage office supplies budget across all offices, working with office administrators to ensure stocking levels are maintained and supplies are ordered in a timely fashion.
- Back up for Executive Assistant to our President & CEO
- Supervise and coordinate the activities of office admin staff, delegating tasks and ensuring their completion in a timely manner
- Develop and implement administrative systems, policies, and procedures to enhance office efficiency and productivity.
- Manage office layout through Envoy & placement of new hires having offices and cubes ready for new employees including, creating name plates, welcome boxes, & ordering approved office furniture
- Coordinate and collaborate with other departments, teams, or external stakeholders on various projects or initiatives.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively
- Ability to multitask and prioritize competing demands in a fast-paced environment
- Proficiency in Microsoft Office Suite and other relevant software
- Covid-19 vaccine is required – reasonable accommodations will be considered
- Ability to always maintain a positive and professional demeanor
- Must be in office 5 days a week
- Minimum 4 years’ experience in office management or a similar administrative role
- Excellent communication and interpersonal skills; attention to detail
- Bachelor’s degree in business administration, management, or a related field (or equivalent experience)
