Our mission is to provide disinfecting and sanitizing solutions to improve the welfare of all people and the earth. We are a remote-first, small business driving strong market growth and are looking for an Office Manager to join our team and provide administrative support to ensure we operate smoothly. Admin/office manager experience is required. HR / Legal assistant experience is preferred. The ideal candidate must be a self-starter, have excellent organizational skills, impeccable attention to detail, and the ability to work in a fast-paced, remote environment. Remote role but must be based in the Metro Atlanta area where other team members are based. Office hours are M-F 8-5pm.
Responsibilities:
- Insurance policy management. Provide certificates of insurance as needed.
- Support the team by ordering office supplies, managing and maintaining IT infrastructure, scheduling virtual and/or in-person group meetings, maintaining calendars, booking travel, doing research, developing presentations, and creating reports as needed.
- Identify opportunities for process and office management improvements.
- Contract administration and coordination including preparing initial drafts of employment / distributor / sales consultant contracts with information provided by the team. Ensure contracts get signed and filed correctly. Develop list of contracts with term dates and reminders to notify leadership when action is needed.
- Set up and maintain document control and paperwork.
- Onboard and offboard new employees and sales reps.
- Prepare invoicing for recoverable service repair expenses & collect payment.
- Draft correspondence with employees, customers, and affiliates.
- Assist with machine rental billings & collection.
- Manage vendor relationships.
- Partner with leadership team to develop office policies and procedures, and ensure they are implemented appropriately.
- Design and implement new processes, tools, standard work and training.
