Office Coordinator, Bentonville, AR


Join our team onsite in a thriving fitness & recreation facility at our Walmart client site!


Are you an administrative super star? Come work full-time as our Office Coordinator and be a part of the team responsible for the operations of a brand new, state-of-the-art facility nestled within the vibrant Walmart community in Bentonville, AR. With an expansive 360,000 square feet of space dedicated to aquatics, recreation, fitness, youth programming, and whole health, this facility promises to be a hub of vitality and enjoyment for individuals of all ages and backgrounds. In this role, you'll support the lead business operations management team through a variety of office functions including data entry, report generation, scheduling, supply ordering and inventory, assisting with member service duties and member relations problem solving. At HealthFitness and the Walton Life Fitness Center, we believe in the transformative power of comprehensive wellness and holistic programming.


Key Accountabilities


  • Other duties as needed/assigned.
  • Office supply inventory and ordering, internal record keeping, general mailings, staff business cards/nametag ordering, daily mail distribution, and coordinating promotional material distribution.
  • Administrative support for reconciliation of cash, checks, credit card statements using point of sale technology system to create reconciliation reports.
  • Provide administrative and staffing support for internal programs, membership drives and special events.
  • Perform word-processing tasks and create/update spreadsheets. Develop Power Point presentations.
  • Performs customer service and member relations management as needed and front desk duties on a substitute basis.
  • Maintain uniform inventory and coordinate distribution process.
  • Coordinate schedule for weekly/monthly meetings, luncheons, celebrations and interviews. Manage room reservations.
  • Updates to and printing of membership forms, cards, new member packets ensuring an adequate supply is available at all times.


Education & Experience


  • Advanced proficiency in Microsoft Office programs including at minimum Word, Excel, Outlook and Power Point.
  • Excellent verbal and written communication skills including spelling, punctuation, grammar, and proofreading.
  • Associate’s Degree or higher in a business-related field and 4 years of related experience (or an equivalent combination of education and experience).
  • Knowledge of accounts receivable/payable/basic accounting skills including account numbering system for debits/credits/budgets.
  • CPR/AED certification through the American Heart Association, America Red Cross or American Safety & Health Institute required within 6 months of hire.
  • Ability to work effectively with individuals both within HealthFitness and Walmart.
  • Must effectively organize and prioritize work demands, meet deadlines, and collaborate with all business units. Ability to multi-task, handle interruptions, stay focused, accommodate requests from co-workers and management while maintaining assigned work demands.
  • Desktop publishing skills. General website design and maintenance knowledge.
  • Strong interpersonal and customer service skills and the ability to motivate others.
