Job Description
Job Information


The Office Coordinator is a highly visible, team player with positive energy and great customer service skills. This position is responsible for managing the reception area and special events for a large, dynamic office environment. This includes greeting and hosting guests and employees, coordinating special events, managing office supplies and mail, various administrative tasks and working with facility management to ensure the facility is kept in excellent condition.


Critical to success in this position is the candidate’s ability to anticipate and meet the needs of the location's staff from a facilities and support standpoint.


Role & Responsibility


Administrative Support


  • Assisting HR in ordering flowers for different occasions.
  • General administrative support including handling confidential information.
  • Create and develop visual presentations, spreadsheets, office supply orders, etc.
  • Project manager for special projects.


Facilities Management


  • Assist facility management to ensure the office is maintained appropriately.
  • Management of necessary catering services for Statesville facility.
  • Office related vendor management.
  • Mailroom & store management.


Reception


  • Answer the phone in a friendly and timely manner and represent Doosan appropriately.
  • Work with HR and facility management to ensure individuals have access to appropriate areas of the building.
  • Maintain standard operating procedures for all guests including sign in/out and temporary badges.
  • Responsible for guiding employees, contractors, guests and vendors to approved areas of the building.
  • Direct incoming calls to the appropriate individual or department.


Event Planning


  • Work closely with event team to understand, schedule, plan, and coordinate events at the facility


Job Requirement


  • Proficiency in Microsoft Excel, Outlook, and SAP/related systems.
  • Positive attitude and friendly personality
  • Strong customer service skills with a focus on producing an excellent experience
  • Travel Standard: < 10%
  • Must be able to work with all levels of the organization
  • Bachelor's Degree - Any (Allow Equivalent)
  • Ability to manage competing demands in a fast-paced office environment
  • Ability to relate to a diverse group of individuals
  • 0-2+ years experience in administrative support
