Job Description

Sourcebooks, a leading independent book publisher in the western suburbs of Chicago is looking for an Office Administrator who is passionate about cultivating a welcoming, efficient office environment and partnering with an executive team to boost forward momentum to create success.


Office Administrator Key Responsibilities:


  • Oversee and support all administrative duties.
  • Take the lead on office catering needs.
  • Coordinate events and activities (some virtual, some in-office) to help employees build connections.
  • Serve as the in-office point person for events like author visits.
  • Identify opportunities for process and office management improvements.
  • Schedule group meetings, events, and high-profile meetings. (for example: Board meetings, quarterly management meetings,
  • Ensure high priority meetings are scheduled quickly and efficiently.
  • Coordinate travel plans for senior staff
  • Manage inventory of office supplies
  • Provide other administrative support, as necessary.
  • Maintaining the calendar, including meeting and travel schedule, of our CEO, as well as assisting with senior leadership scheduling as needed
  • Provide outstanding proactive support to the Publisher and Senior Staff


Required Skills/Experience:


  • 3 – 5 years’ experience as an executive assistant, office manager, or administrator
  • A positive and helpful above-and-beyond attitude
  • High-energy and must be willing to take initiative.
  • Excellent communication skills, on paper and in person
  • Resourceful and can anticipate executive needs.
  • Organized and detail oriented.
  • Event coordination and execution experience
  • Associates degree or similar experience in a related field

This is a full-time role, working in-person in our Naperville, IL office. We are a hybrid work environment, and you will have the flexibility to work from home if/when needed, as long as it does not interfere with office needs. Office hours are Monday through Friday: 8:30am to 5:30pm
