Job Summary


NCWIT at CU Boulder welcomes applications for the Operations Coordinator! The National Center for Women & Information Technology (NCWIT) is a coalition of over 1,500 corporations, universities, and non-profits working to significantly increase girl’s and women’s participation in computing. It is prominent on the national computing landscape and has raised over $28 million in NSF grants, as well as considerable corporate gifts. The NCWIT organization is part of the College of Engineering & Applied Science at the University of Colorado-Boulder. It spans both university staffing, financial and legal procedures, and in addition, receives funding from a non-profit 501(c)(3), to implement financial, legal, and governance procedures on its behalf.


The NCWIT Operations Coordinator provides operational support for the organization and collaborates with the Office and Logistics Coordinator, Operations Liaison, Operations Assistant Director, and Operations Director. In particular, this position performs Human Resources (HR) transactions, plans and manages events, performs financial data entry, and provides other administrative support. This position is responsible for entering key details into several University systems which is crucial for NCWIT to maintain its daily operations.

The National Center for Women & Information Technology (NCWIT) is the farthest-reaching network of change leaders focused on advancing innovation by correcting underrepresentation in computing.


NCWIT convenes, equips, and unites more than 1,500 change leader organizations nationwide to increase the influential and meaningful participation of girls and women — at the intersections of race/ethnicity, class, age, gender identity, sexual orientation, disability status, and other historically marginalized identities — in the field of computing, particularly in terms of innovation and development.


What Your Key Responsibilities Will Be


Human Resources Transactions and Support:


  • Send timesheet, training, ePERS, and other staff compliance reminder communications.
  • Send HR transactional requests to the HR Service Center for approximately 50 CU employees within the NCWIT organization. Monitor the status of the requests and follow up when necessary.
  • Enter or correct funding distribution data and payroll expense transfers.
  • Guide NCWIT staff on student-employee hiring procedures and supervision.
  • Ensure completion of onboarding and offboarding processes for CU employees and non-profit contractors.
  • Draft research faculty, graduate assistant, and student employee offer and addendum letters.
  • Track and monitor bi-weekly and monthly payroll to ensure correct payments, and also send off-cycle pay requests and leave balance adjustments.
  • Plan staff morale events and process staff awards.
  • Create Additional Pay Forms and communicate with HRSC for entry.


Event Planning


  • Manage the planning of NCWIT’s annual Summit - lead weekly meetings, negotiate deadlines, prioritize tasks, and ensure completion of multiple event-related projects led by different NCWIT departments.
  • Use software like Zoom, Eventbrite, Whova to organize meeting logistics for both virtual and in-person events.
  • Draft venue event orders.
  • Provide event support including up-front planning and coordination to ensure virtual and in-person meetings and events run smoothly.
  • Travel and work onsite at NCWIT events.
  • Enter event attendee information into registration database.
  • Liaise with conference representatives to organize booth logistics, event materials, and hotel room blocks.
  • Communicate travel policies, coordinate travel reimbursement process with NCWIT program managers, and process travel reimbursements for non-employee travelers attending NCWIT events.


Financial Data Entry


  • Perform monthly reconciliation for approximately 29 department speedtypes, including pulling financial statements from CU Data, monitoring to ensure accurate expenses, sponsored project accounting compliance, and entering expenses in NCWIT’s Quickbooks file. This includes allocating expenses to proper funding sources and account codes in Quickbooks and reporting any unusual occurrences to Operations Director.
  • Handle monthly reconciliation of NCWIT non-profit credit card and enter activity into Quickbooks, including allocation of expenses to one of over 100 funding sources and account codes.
  • Maintain all printed and digital financial files, receipts and supporting documentation for both university side and non-profit side reporting.
  • Process University of Colorado journal entries in University Finance system, as needed.


Other


  • Train, coach, and supervisor the Operations Student Assistant.
  • Participate in professional development activities and serve on unit, college or campus committees as applicable.
  • Stay apprised and current on relevant University and State of Colorado policies and procedures.
  • Provide back-up support for NCWIT Office and Logistics Coordinator.
  • Prepare NCWIT staff procurement card expense reports, collect receipts, and allocate charges within Concur software and according to CU policies and procedures.
  • Provide back-up support for NCWIT accounts payable functions and procurement.


What You Should Know


This position will work a flexible hybrid work schedule with 2-4 days of in-office work a month. We plan on discussing this further during the interview process.


What We Can Offer


The salary range for this position is $45,000 - $53,000 annually.

What We Require


  • Ability to work occasional nights and weekends to attend and support events.
  • Ability to lift 40 lbs.
  • Three years of experience in an occupational field related to the work assigned to the position. Equivalent combination of education and experience may substitute.

  • Strong interpersonal and communication skills, both orally and written.
  • Experience with Quickbooks or related accounting software.
