Job Description
We are seeking a highly skilled and experienced individual to join our team as a High-Level Office Manager.

Responsibilities:


  • Problem Solving: Identify and resolve any issues or challenges that may arise during office setup and operations, ensuring efficient and effective problem-solving skills.
  • Compliance and Regulations: Ensure that all new offices adhere to relevant regulatory requirements, including maintaining accurate and up-to-date medical records and following best practices for patient confidentiality and data security.
  • Collaboration: Collaborate with various departments, such as IT, HR, and finance, to streamline office operations and ensure smooth integration with existing systems and policies.
  • Process Optimization: Analyze existing office processes and identify areas for improvement. Implement efficient workflows and standard operating procedures to enhance productivity and ensure quality service delivery.
  • Medical Records Software Expertise: Possess a deep understanding of medical records software, with a focus on TMS (Transcranial Magnetic Stimulation), ketamine therapy software, and alternative therapy documentation tools.
  • Continuous Education: Stay updated with the latest developments in medical records software, TMS technology, ketamine therapy, and alternative therapy approaches. Share knowledge and provide training to staff members as needed.
  • Office Expansion: Travel to new locations and oversee the setup and establishment of new offices.
  • Personnel Training: Train and mentor the staff members who will be running the new offices, ensuring they are well-equipped to handle their roles effectively.


Requirements:


  • Strong Communication Skills: Excellent verbal and written communication skills, with the ability to effectively train and mentor others.
  • Medical Records Software Expertise: Extensive knowledge and proficiency in medical records software, particularly TMS systems, ketamine therapy software, and alternative therapy documentation tools.
  • Medical Background (Preferred): A background in healthcare or a related field would be advantageous, providing a solid understanding of medical terminology and practices.
  • Attention to Detail: A meticulous approach to work, ensuring accuracy and thoroughness in all tasks, especially when handling sensitive medical records.
  • Problem-Solving Abilities: Proactive in identifying and resolving challenges, with the ability to think critically and provide innovative solutions.
  • Flexibility and Adaptability: Willingness to travel extensively and adapt to various work environments while maintaining productivity and professionalism.
  • Previous Office Management Experience: Proven experience in office management or related roles, preferably with a focus on expanding and establishing new offices.
  • Teamwork and Collaboration: A collaborative mindset, able to work closely with cross-functional teams to achieve common goals.


Job Type: Full Time


Pay: $100,000 - $150,000 per year


Location: Palm Springs, FL (Travel is required to our other locations)
