Medical Billing Manager

Non-Exempt, Hourly Position


Salary: $18-$25 per hour, depending on experience

Work Week: 35-40 hours, flexible schedule; in person

JOB SUMMARY: An extremely busy, multi-provider orthopedic office is seeking a Medical Billing Manager. This full-time position is responsible for overseeing the billing office staff and making day-to-day decisions; responsible for understanding and coding all procedures within regulatory mandates; assists with following up on insurance claims, and submit appeals as needed. This position is responsible for directing and coordinating the overall functions of the billing and coding office to ensure maximization of cash flow while improving patient, physician, and other customer relations. The Medical Billing Manager position requires the ability to produce and present detailed billing activity reports.

EDUCATION: Minimum high school diploma or GED; associate or bachelor’s degree in related field preferred.

EXPERIENCE: Five years medical billing experience preferred, at least two years required. Familiarity with eClinicalWorks is a plus.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following as well as other duties and responsibilities that may be assigned:

  • Assists with physician credentialing actions.
  • Oversees the aging and collections process, working with a third-party collections vendor to achieve collections goals.
  • Skill in operating computers, calculators, copiers, printers, fax machines, and telephones
  • Ability to communicate effectively in the English language. Ability to also communicate effectively in Spanish will be highly regarded in hiring decisions.
  • Plans and directs patient insurance documentation, workload coding, billing and collections, and data processing to ensure accurate billing and efficient account collection.
  • Time management skills.
  • Must possess tact and diplomacy.
  • Must possess sufficient manual dexterity to perform the essential responsibilities to meet customer needs effectively.
  • Ensures that the activities of the billing operations are conducted in a manner that is consistent with overall department protocol, and are in compliance with Federal, State, and payer regulations, guidelines, and requirements.
  • Maintains contacts with other departments to obtain and analyze additional patient information to document and process billings.
  • Excellent grammar, spelling, and punctuation skills.
  • Prepares and analyzes accounts receivable reports, and weekly and monthly financial reports in concert with the Practice Administrator and Physician Partners. Collects and compiles accurate statistical reports.
  • Excellent math skills.
  • Reviews and interprets operational data to assess the need for procedural revisions and enhancements; participates in the design and implementation of specific systems to enhance revenue and operating efficiency.
  • Keep up to date with carrier rule changes and distribute the information within the practice.
  • Maintains positive working relations with co-workers.
  • Follow up on claims using various systems, i.e., practice management and clearinghouse.
  • Oversees the operations of the billing department, encompassing medical coding, charge entry, claims submissions, payment posting, accounts receivable follow-up, and reimbursement management.
  • Analyzes trends impacting charges, coding, collection, and accounts receivable and takes appropriate action to realign staff and revise policies and procedures with the approval of Operations Manager and/or Practice Administrator.
  • Analyze billing and claims for accuracy and completeness; submit claims to proper insurance entities and follow up on any issues.
  • Ability to deal professionally, courteously, and efficiently with the public and to remain calm under stress.
  • Excellent communication skills, both written and oral
  • Demonstrates initiative to provide quality of services and improve efficiency.
  • Serves as the practice expert and go to person for all coding and billing processes.
  • Participates in the development and implementation of operating policies and procedures.
  • Audits current procedures to monitor and improve efficiency of billing and collections operations.

ENVIRONMENTAL/WORKING CONDITIONS: Work is performed in an office environment. Involves frequent contact with the public. Work may be stressful at times. Contact may involve dealing with angry or upset people.

PHYSICIAL/MENTAL DEMANDS: Work requires hand dexterity for office machine operation, stooping and bending to files and supplies, mobility to complete errands, or sitting for extended periods of time. Must possess visual and auditory acuity to communicate with co-workers, patients and other customer groups. Possible exposure to chemical hazards. Must be able to lift up to 25 lbs.
