JOB SUMMARY
Marymount University seeks a Housing and Billing Administrator to manage student housing and leasing administration for all residents at Ballston Campus Apartments, the University’s campus apartment community located in the heart of Ballston, Virginia. Reporting to the Director of Administration and Program Management, the Off-Campus Housing and Billing Administrator will manage all administrative and billing functions and leasing activities for student and affordable units on Marymount University floors. The right candidate will work in partnership with the property management team and Student Financial Services to apply the correct billing charges for student residents and ensure the property meets its financial goals. The right individual will proactively seek opportunities to maximize revenue, is results-driven, and is eager to bring a positive experience to the apartment community.
MAJOR DUTIES AND RESPONSIBILITIES
  • Ensures the timely and accurate processing of student billing, payments, and collection of rent charges from Marymount units
  • Works in partnership with the Student Financial Services team to ensure accuracy of student billing through monthly reconciliations and ad-hoc research and adjustments
  • Works closely with the property management team related to reassignments, maintenance billings and other billables associated with administrative operations or facility-related functions
  • Meets with the Director of Administration and Program Management on a weekly basis to review administrative initiatives and all tenant delinquencies
  • Assists in managing the Marymount/Placemakr relationship providing updates and responses to senior leadership requests on an as-needed basis
  • Stays informed about current market and competitor conditions that may impact the community’s occupancy and provides recommendations for unit mix, pricing, and projected revenue each fiscal year
  • Responsible for the coordination and management of the student housing selections and assignments and all associated communications with this process
  • Manages all aspects of compliance with Arlington County in relation to affordable housing units, including processing applications, verifying income for affordable housing tenants, and maintaining complete and up-to-date tenant records
  • Provides comprehensive and solution-oriented responses to student inquiries to ensure students are sufficiently informed of their financial responsibilities and payment options which can include tuition assistance and understanding financial aid awards
  • Maintains a thorough understanding of Marymount’s payment options, procedures, and systems to provide students with effective and accurate financial guidance
  • Coordinates check-in and check-out procedures, processes tenant room change requests, maintains and updates student housing database and space allocation file
  • Supports the achievement of highest possible occupancy revenue through effective tenant management and consolidation practices, coordination of marketing and renewal strategies, networking with the local college community, and generating qualified traffic to secure rentals and maintain occupancy at or above 95%
  • Performs all sales and leasing activities by greeting and qualifying prospects, conducting community tours, showing apartments, processing applications, and preparing lease and move-in packages
  • This position may require occasional evening and weekend hours
  • Adheres to accurate weekly and monthly reporting schedules
  • Works within multiple systems to ensure accuracy of housing assignments for student residents and prepares monthly reporting of this data for senior leadership

JOB REQUIREMENTS
Required Qualifications:
  • Strong proficiency in Google Suite and Microsoft Office (Word, Excel)
  • 2 years of university housing experience and/or relevant professional experience in an applicable role
  • Bachelor’s Degree from an accredited institution of higher learning or equivalent combination of education and experience
Preferred Qualifications:
  • Previous experience in student accounts management
  • Experience with Yardi, eRez, or Star Rez is a plus
  • Leasing management experience is strongly preferred

  • Excellent interpersonal, oral and written communication skills
  • Delivers results and has a strong sense of initiative and identifying best practices
  • Ability to work in a positive manner with people from diverse backgrounds and cultures
  • Meticulous attention to detail with strong organization/project management skills
