The City of Chandler Management Services Department is currently seeking qualified individuals interested in joining our team as a Management Assistant. This is a full-time, non-exempt position with benefits. This position will work the following schedule: M-F 8/5. Once settled in with the team, there may be an opportunity to occasionally work remotely.

Who we are:
The City of Chandler Management Services Department consists of 71.625 full time equivalents (FTE) and includes Administration, Accounting, Budget, Purchasing, Central Supply, Tax and License, Utility Services, and Environmental Management. Within the Management Services Department, the Administration Division consists of 4 FTE and assists the Department.
Who we are looking for:
We are looking to fill a vacancy in our Administration Division of the Management Services Department that will serve as Management Assistant.
This position will serve as support for Administration, assist in supporting other divisions within Management Services, be backup to the Budget and Accounting Management Assistants, and assist the Information Desk in the Communications and Public Affairs Department. Within Administration, key responsibilities include: coordination of council items, coordination of bi-weekly manager meetings, monitor and update department intranet and website, assist in budget preparation and monitoring, maintain forms, record retention, monitor division contracts, create purchase orders, process invoices and p-card statements, reconcile accounts, order supplies, act as budget liaison, travel coordinator and payroll liaison, coordinate bond sales, and coordinate department events, and create visually attractive presentations.
We are looking for a well-rounded administrative professional with strong customer service skills, extraordinary interpersonal skills, excellent communication skills both oral and written, capable of great foresight and planning; resourceful problem solver; organized; confidential, technically competent; and friendly with a sense of humor.
Essential Functions:
1. Assists with daily office operations for area of assignment.
2. Responds to internal and external inquiries.
3. Assists in monitoring the budget for assigned area.
4. Creates, updates, and maintains databases, records, and files for area of assignment.
5. Researches and gathers information, data, and statistics for programs in assigned division or department.
6. Drafts, formats, and prepares a variety of correspondence and documents.
7. Completes, plans, and implements special projects, as assigned.
8. May maintain calendars and schedules for department leadership.
9. May serve as a liaison with external public entities.
10. May plan major divisional or departmental events.
11. May research and prepare presentations for leadership.
Minimum Qualifications:
  • Four (4) years of progressively responsible experience providing complex administrative support and management assistance, preferably working in a similar role and department; or
  • Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
  • High school diploma or GED equivalency, supplemented with general college courses; and
Desirable Qualifications:
  • Experience in municipal government.
  • Associate degree in Business Management or related field.
The position available is a full-time position and is subject to a six (6) month probationary period.
A register of qualified candidates will be active for four (4) months should another position become available.
