The City of Irvine seeks a talented and high-performing Mail Coordinator to provide citywide Mail Center services involving the collection, processing, and distribution of United States Postal Service (USPS), courier, and inter- office mail throughout City Hall and its satellite facilities; to provide services including regular, certified, priority, bulk, pre-sorted and special mailings; and to provide customer service and training to City personnel regarding all mailings.

The work typically is performed under the direction of the Municipal Records Administrator. Technical direction is also provided by the Lead Mail Coordinator.

Your Impact

  • Receives and scans citywide invoices into the City’s Financial Management System; may process and review Mail Center invoices as needed.
  • Monitors and tracks postage accounts applicable to individual departments. Prepares related charge-back reports for reimbursement to the Mail Center budget. Maintains USPS postage accounts.
  • Sorts mail, inter-office parcels, and supplies for distribution within City Hall and to all City satellite facilities; assists in delivery of parcels and supplies, may include walking to various locations.
  • Sorts, meters, and prepares items for mailing; participates in the completion of large mailing projects.
  • Prepares activity and usage reports; prepares paperwork for registered, insured, and return receipt through the USPS Post Office.
  • Operates various Mailroom Management systems and applications, including but not limited to S.M.A.R.T., ConnectSuite, Web Tracking System (WTS), Bulk Mailer SMB, etc.
  • Scans and catalogs various City records by numerous indexes; performs quality control check of images, resolves discrepancies, and submits electronic records to the City’s Electronic Content Management System.

This recruitment will establish an eligibility list for future vacancies within the classification or lower.

Minimum Qualifications
  • High school diploma or equivalent
  • Possession of, or ability to obtain, a valid California driver's license.
  • Vocational/technical training in mail center services and two years experience involving a range of skills, activities and equipment in providing mail services, or any combination of education and experience that provides equivalent knowledge, skills, and abilities.

  • High level of professionalism with strong organizational skills to perform assignments that require attention to detail and following established procedures.
  • Proficient in Microsoft Office, including Outlook, Word, and Excel.
  • Familarity with various automated mail processing equipment, such as a folder-inserter, tabber, labeler and photocopier.
  • Excellent interpersonal and communication skills, both verbal and written.
