Job Overview


To provide onsite administrative support for the General Counsel and other members of the Legal Department.


Key Job Responsibilities


Administrative duties:


  • Open and Distribute Department Mail
  • Generate, Edit and File Correspondence and Documents
  • Draft General Correspondence and other Documents
  • Calendar Meetings and Schedule and assist with Conference and Teams Calls
  • Coordinate and Schedule Travel Arrangements
  • Serve as back up for Administrative support when necessary
  • Assist General Counsel with audit letters (e.g., collection of information from outside counsel; collect information from internal department heads; preparation of quarterly and annual letter)
  • Maintain Attorney Calendars and coordinate schedules
  • Facilitate Service of Process procedure


Information Administration Function:


  • Administer Department Filing Procedures (electronic and paper)
  • Open, Manage and Close Paper and Electronic Files
  • Manage Legal Review Inbox and intake of legal assignments
  • Generate, Edit and Transmit Law Department Reports
  • Transfer Files to and from On-Site and Off-Site Storage
  • Responsible for Legal Projects Matrix


Accidents:


  • Prepare and issue Notice of Claims for insurance company
  • Coordinate outside inspections as necessary
  • Handle intake of Accident Reports, notification to stakeholders and tracking.


Budgets:


  • Support documentation and maintenance of Legal Department annual budgets, forecasts, and accruals.


Expense Reports:


Process Employee Reimbursement Reports for Business Expenses


Invoices:


Administer Legal Department invoice intake process and payment procedure.


And other duties as assigned by General Counsel.


Qualifications/Requirements


Five or more years of experience as a legal administrator - or comparable position with:


  • Excellent time-management and organizational skills and comfortable prioritizing multiple projects from multiple individuals.
  • Demonstrated ability to support of multiple legal professionals at the same time.
  • Must be willing to work onsite five (5) days a week.
  • Familiarity with legal issues and terminology, processes and documentation.
  • Must be detail oriented and possess high quality administrative legal skills and ability to maintain confidentiality.
  • Proactive, self-starter who enjoys working independently with minimal supervision.
  • Expert knowledge in Microsoft Office Suite programs.
