Primary Function/General Purpose of Position
The Lead Patient Service Representative supports the practice leader to ensure team members provide duties including, but not limited to, registering patients, obtaining referrals and pre-certifications, collection co-pays, scheduling appointments, and answering phones. Communicates and models the mission and values of Bon Secours Health System.
Employment Qualifications
Minimum 2 year face-to-face customer service experience or 3 years of phone customer service experience. Experience in healthcare environment preferred. Basic computer skills required HS degree or GED
Essential Job Functions
Coordinate staff schedules for front office team. Provides ongoing supports to all employees to including training, coaching and mentoring for workplace efficiencies. Assists practice leader with other duties which may included coordinator provider schedules and rescheduling patients, timekeeping, end of day reconciliation of cash drawers, service recovery when necessary. Serves as the primary point of contact between patients and the medical practice. Answers phone in a manner consistent with Con Secours standards of excellence, appropriately routes calls, schedules patients, and enters necessary information for patient scheduling into the computer system in a timely and accurate manner. Follows front end revenue cycle check-in standard work including:
Obtains registration from patients and accurately enters required information into the computer system
Obtains copies of insurance cards and verifies insurance coverage
Secures signatures on all required forms and updates information accordingly.
Responsible for verifying required referrals obtained by patients PCP office and/or obtaining signed waiver prior to appointment
Registers patients in a timely and accurate manner
Collects missing information from the patient
Collects necessary co-pays and/or collection balances from the patient
Participates as an active member of the patient care team, including attendance at clinical huddles. When applicable, proactively manages the provider schedules and identifies opportunities for improvement to communicate with Practice Site Leader. Reconciles cash drawer at the close of the day. Works assigned work queues daily, including patient and referral queues, to ensure end of month compliance Schedules follow-up appointments and/or assists with scheduling other services for patients. Follows referral management standard work including:
Assists patients in obtaining necessary referrals for follow-up services recommended by the physician.
Obtains proper authorization and pre-certifications for all outside procedures scheduled through the medical practice.
Verifies that all referral orders and requests are complete
Performs all assigned duties in a manner consistent with appropriate customer service requirements and in support of Bon Secours ethics and values Understands and performs individual role in assuring compliance with regulatory, accreditation, and health system processes.
