Job Description

Almine Rechis an international Art Gallery with locations in Paris, Brussels, London, New York, Shanghai, Monaco (offices) representing modern and contemporary artists.


Almine Rechis currently looking fora Junior Gallery Assistant. He(she) supports gallery staff on all aspects of daily operations, administration, and client service. Regularly interacts with press, clients, and gallery staff in other locations. Responsible for gallery event coordination and for preparing dossiers and research files. Expected to perform data entry, upload images and files to gallery information systems, and maintain gallery calendars, schedules, and exhibition websites.



Main responsibilities

  • Records Maintenance: organize and inventory archival materials for public and clientele access, manage and update digital inventory following classification guideline, conduct historical research to select and preserve archives for long-term storage,
  • Public Outreach: assist with exhibitions outreach programs by coordinating external email campaigns with public and press release process,
  • Front Counter and Administration: responsible for opening and closing the gallery. Staff the front desk at the gallery to greet visitors, answer questions and field sales inquiries. Keeping a daily count of all visitors, record key visitors and clients, sending updates to Directors. Order office or retail supplies, answer phones, issue and manage written correspondence, and set up or confirm appointments or event schedules with artists, vendors, clients or visitors. Monitor gallery CCTV. Sell books and merchandise from the front desk and update book stock accordingly. Preparing monthly sales reports to be shared with the Gallery Manager,
  • Information Systems: responsible for managing the gallery's information technology and computer systems through frequent data entry, file/image upload, managing calendars, contacts database maintenance, etc.



Additional Responsibilities

  • Preparation of the sales, exhibition, and art fair dossiers that are meant to be shared with the sales team and with collectors including the indexing of all dossiers for future reference and retrieval,
  • Provide clerical and administrative support to management as requested,
  • Adding public prices for works into Artlogic according to consignment terms and at the direction of Gallery Manager,
  • Assist with populating IT budgets and ordering assets and equipment.
  • Research works and artists, adding new information to the gallery’s archival records to continually develop enhanced and robust knowledge of the art historical importance of its program and artists,
  • Assist graphic designers with coordinating the production of wall vinyl’s, print and digital advertisements, and the Registrar with exhibition and fair floorplans,
  • Raise and correctly files all incoming and outgoing consignments and loan agreements under the supervision of the Directors and Gallery Manager,
  • Assist Directors and Gallery Manager to coordinate special events for art fairs and gallery exhibitions (openings, lectures, tours, client dinners, staff/artist travel and accommodation),
  • Greet clients as they enter the gallery premises, announcing arrivals to back-office staff, and answers the telephone taking messages or forwarding the call to staff as necessary and managing general email account,
  • Organizetravel receipts for refunds and populate actuals into budget template,
  • Create Square links for shipping reimbursement invoices via credit card,
  • Ensure content of website and all databases are up to date and accurate including upload/download of images, client information, press releases, and exhibition profiles (Artlogic, Defiris, Artsy, Artnet, Ocula),
  • Provide consistent and ongoing evaluation, documentation, and continuous process improvement of all gallery archives and records management functions,
  • Maintain the safe and organized collection of Certificates of Authenticity, including production of copies for clients and for gallery archives,
  • Manage and inventory library resources in gallery and in storage including digital archives by ensuring the content of website and all internal databases are up to date and accurate including upload/download of images, press releases, artist biographies, provenance information, artist correspondence, and exhibition profiles,
  • Coordinate production and distribution of email newsletters for exhibitions and art fairs,



Requirements

  • 1-2 internships in a similar function,
  • Strong aptitude with computers: Artlogic, Adobe Suite & Microsoft Suite,
  • Sense of customer service,
  • Excellent written and verbal communication,
  • English fluency.



Salary

  • $40-45K gross per annum.
