Job Description
We are searching for an IT Administrative Assistant for our clients Information Technology Department.


This position is responsible for providing secretarial and administrative support for internal and external clients, executives, officers and other co-workers. This position requires report compilation, project work and coordinating department workflow.


Principal Responsibilities


  • Anticipate and prepare materials needed for correspondence, appointments, meetings and phone calls. Comfortable with preparing brochures, training materials, and reports.
  • Assist with and/or compose Word documents, spreadsheets, information requests, editing and proofreading, printing. Support the preparation of professional PowerPoint presentations utilizing charts, diagrams, and graphs. Compose meeting materials and follow-up correspondence with input and review by Executive. Follow up on action items and report status to executives/meeting attendees. Appropriate equipment/materials and provide hospitality services and local on-site support as needed.
  • Monitor and distribute correspondence and incoming mail and maintain filing systems and office supplies.
  • Organize departmental meetings, prepare minutes, and distribute correspondence and reports.
  • Manage invoice processing, software licensing, vendor management, track expenses, and maintain up to date reports and/or dashboards of the status of spend and renewals.
  • Greets visitors, respond or initiate calls to internal or external customers to determine need for assistance or referral to the appropriate area for servicing.
  • Coordinate meetings and travel arrangements with staff, prepare and organize materials including scheduling calendars.
  • Primarily work closely with the CIO on the day-to-day activities. Assist as requested.
  • Interface with customers and staff daily; handle routine problems directed to the department in a sensitive, mature and confidential manner.
  • Prepare and assist in policy and procedure formulation and take initiative to enhance personal knowledge of tasks and procedures.
  • Knowledge of departmental policies, procedures and other areas of the organization.


Requirements


  • Excellent verbal and written communication skills.
  • Develop strong relationships with other staff across the organization and support/participate in group activities when needed.
  • Demonstrated professional demeanor, reliability and integrity in personal interactions
  • Application of sound judgment in making independent decisions.
  • Superior computer/technical skills required including Microsoft Office Suite.
  • Experience in operating office equipment used in assigned areas.
  • Good aptitude to work and pickup technical skills and work with technical staff.
  • High School Diploma or above
  • Demonstrated ability to control and handle difficult and sensitive business situations.
  • Strong organization skills to handle multiple tasks in a fast-paced environment.
  • Authorized to work in the United States on a full-time basis without Company sponsorship.
  • Minimum of 1- 5 years' administrative support experience with Senior Management.
  • Excellent interpersonal, organizational, verbal, and written communication skills with strong customer service orientation
