Summary
The Intake Coordinator is responsible for the daily operational clerical, data entry and referral functions needed to support the program administratively. The Intake Coordinator reports to the Administrative Assistant.
Primary Duties and Responsibilities
- Organizes and complies material for the Local Selection Panel meetings.
- The intake coordinator will be responsible for tracking PREA intake and 30 day follow-up documentation.
- Assist the Director and Assistant Directors as required.
- Enter and maintain a census of residents entering and leaving residential program.
- Communicate verbally and in writing any information needed by staff.
- Maintain filing system for easy access to documents.
- Assist Assistant Director of Programs with the development and production of program logs, assessments, etc.
- Create intake schedules and communicate with security monitors
- Maintain a daily matrix with current listing of each resident in the program
- Enter all Program Referrals, confirmed Urine Analysis, Monthly Progress Reports and Community Service Hours into the PPITS database system and file same in resident binders.
- Maintain appropriate office attire.
- Prepare correspondence or other paperwork as required.
- Coordinate referral packets and program entry with PPO’S and facility Case Managers statewide and maintain the waiting list.
- Maintain a positive, team-oriented, attitude
- The intake coordinator will be responsible for both New Mexico facilities and may be required to work at either.
Minimum Requirements
- Ability to effectively interface with residents and staff; supervise residents and possibly other staff supervise residents and possibly other staff; react quickly and appropriately in an emergency situation.
- Minimum of two (2)-year experience in Human Services field with direct client services preferred.
- Must hold a current and active Driver’s License.
- High School Diploma or GED required.
- Interact effectively with others and learn supervisory techniques. Write clear, concise reports in English using correct grammar. Add, subtract, multiply, divide, and calculate percentages.
- Demonstrate flexibility in order to perform a wide range of duties.
- Two years college coursework in Human Service or Business discipline preferred.
- Express thoughts logically, in both written and verbal form using correct grammar.
- Sufficient organizational skills to keep the workflow on-going in an orderly manner.
