Analytical Mechanics Associates, Inc., (AMA) is currently seeking to hire a motivated and driven HR Generalist to support all HR functions for our West Coast operations including recruitment, onboarding/offboarding, training compliance, compensation and benefits, FMLA, workplace incidents/workers compensation, policy updates and implementation, immigration and corporate sponsorships, and performance management. This is a full-time, exempt position reporting to AMA’s corporate HR Manager. The position is remote with occasional travel to Mountain View, CA, or Edwards, CA within a reasonable amount of time and a reasonable amount of notice. The ideal candidate is a self-starter who is highly motivated, has exceptional organization and problem-solving skills, and demonstrates a positive attitude. This is an exempt position with a salary of $60,000 - $90,000, depending on experience. Job duties include but are not limited to:
Responsibilities:
- Responsible for the accurate and timely completion of onboarding functions.
- May develop staffing plans and programs, attend career fairs, develop or place advertisements, college outreach programs, etc.
- PHRca (Professional in Human Resources – California) or equivalent certification preferred, or ability to obtain within 12 months.
- Ensure that human resource files and records are maintained in accordance with legal requirements, including I-9 documents and timely reporting of new hires in the government E-Verify system.
- Implement employee retention initiatives.
- Coordinate under supervision, employer immigration sponsorships for Foreign Nationals including temporary work visas (e.g. H-1B, O-1) and permanent residency applications.
- Assist with HR Team with compliance record keeping and deliverables.
- Assist with general employee benefits questions.
- Promote a drug-free and safe workplace.
- Responsible for effectively recording, maintaining, and reporting human resource information per the HR team’s request and guidance.
- Draft policies and procedures and assist with policy updates in accordance with government regulations, company culture, and best practices.
- Support the company’s Affirmative Action Plan and apply program compliance measures to ensure integrity and fairness throughout the entire new hires process, and help educate supervisors/managers conducting interviews and making new hire recommendations as well as existing employee promotions and raises.
- Assist employees with FMLA requests, disability claims, and worker’s compensation claims.
- Data Entry into Costpoint.
- Gather and analyze data with useful HR metrics as requested.
- Assumes responsibility for establishing and maintaining professional working relationships with applicants and staff.
- Performs Generalist recruitment functions including posting job announcements, coordinating interviews, conducting reference and background checks, initiating and routing Personnel Action Forms for new hires, promotions, and status changes, extending offer letters, and coordinating salary negotiations.
- Regular monitoring of the HR Helpdesk to respond to questions and problems courteously and promptly.
- Enhance job satisfaction by resolving issues promptly.
- Conduct new hire orientation and exit interviews.
- Assist with special projects as needed.
- Provide employment verification for security clearance investigations.
- Working knowledge of CA state employment laws is essential.
- Conducts exit interviews to collect data.
Requirements:
- Office Management experience is essential with strong attention to detail and sense of urgency to complete necessary time-sensitive tasks.
- Must be tactful, diplomatic and possess the ability to communicate with individuals at all levels of an organization and with demanding personalities.
- Strong ability to multi-task and effectively deal with changing priorities and meeting crucial deadlines is a must.
- Must be a motivated self-starter with strong customer service attitude and the ability to assist and support others in a timely manner.
- Knowledge of intermediate Excel is desirable.
- Must be able to work Monday-Friday, 8 hours per day, including core hours 8:30 am-5:00 pm. Pacific Time.
- Bachelor’s Degree in business or HR-related field, plus a minimum of 2 years experience, OR a minimum of 8 years equivalent work experience in Human Resources or closely related business operations experience.
- Must be located on the West Coast and able to travel to Mountain View, CA or Edwards, CA within a reasonable amount of time and a reasonable amount of notice.
- Strong communication skills both oral and written and the ability to handle sensitive and confidential situations with poise and common sense.
- Must have working knowledge of human resource functions.
- Must have prior government contracting experience. Government contracting experience with NASA is a plus.
- Experience with MS Office and database data entry is essential.
