Job Description
General Summary
Under the general supervision of the Director of Human Resources, the Human Resources Generalist will be responsible for performing HR-related duties in the following functional areas: employee relations, talent acquisition, performance evaluations, leave administration, compliance, training, HRIS management and will support the Director of Human Resources in executing the overall mission and vision of the Portland Museum of Art. This role carries out administrative work involving the human resources functions and maintains related records; develops and improves policies, programs, and procedures to improve the effectiveness of the overall human resources function. The successful candidate shall have excellent interpersonal and communication skills with the ability to promote the museum’s value proposition and ensure a positive new hire experience.
ESSENTIAL JOB FUNCTIONS:
Employee Relations
  • Conduct exit interviews and evaluate results and trends.
  • Partner with leaders to resolve employee relations or disciplinary issues.
  • Ensure that investigations are thorough and objective.
  • Partner with Director of Human Resources, other leaders and employees to improve work relationships, build morale, increase retention, and foster a positive environment.
  • Plan and execute employee events.
  • Assist in the development and implementation of policies as well as provide guidance, interpretation, and advice to leaders.
  • Maintain knowledge of labor laws, reducing legal risks and ensuring regulatory compliance.
Talent Acquisition
  • Supervise and assist the Talent Acquisition Specialist to meet or exceed the Talent requirements of the museum.
  • Partner with the Director of Human Resources to develop and deliver on a Talent Acquisition strategy that meets the strategic initiatives of the museum.
Performance Management
  • Manages the performance management process for the museum.
Training & Development
  • Partners with the Director of Human Resources to plan, organize and conduct supervisory and HR-related training.
  • Identifies training needs.
Employee Leaves
  • Administers and monitors all other forms of employee leaves.
  • Administers FMLA in accordance with Federal and State laws.
  • Tracks employee’s use of FMLA time against their entitlement and notifies employees when their leave expires.
Data Maintenance
  • Assist in maintaining accurate information within the company HRIS system.
Other Duties and Responsibilities
  • Participates in organizational committees and meetings as appropriate.
  • Foster relationships and build philanthropy with patrons at the PMA, as defined by displaying behavior that welcomes all individuals contacted in the course of work.
  • All other duties as assigned.
  • Perform special projects and other related duties as required, directed, or as the situation dictates.
  • Comply with all PMA safety rules and procedures.
  • Regular and consistent attendance at the workplace is required.
SUPERVISORY RESPONSIBILITY:
Supervises the Talent Acquisition Specialist.
EDUCATION & EXPERIENCE:
Two or more years of related HR Generalist experience. An undergraduate degree in Human Resources or related field preferred, but not required. SHRM-CP or other HR certification is preferred.

  • Ability to use Microsoft Office Suite, HRIS and other computer programs as needed.

  • Must have an ability to work with minimal immediate supervision.
  • Creativity In developing programs and methods.
  • Meticulous attention to detail including excellent proofreading skills.
  • Strong project management, interpersonal, and creative problem-solving skills.
  • Must possess excellent written and oral communication skills.
  • Ability to multitask, organize work, and meet deadlines in a fast-paced, collaborative environment.
  • Ability to authentically engage with colleagues and others to establish, maintain, and foster positive and collaborative working relationships.
  • Strong work ethic and passionate about helping others.
  • Previous involvement/experience with recruitment and hiring processes.
  • Ability to maintain strict confidentiality.
  • Ability to adapt to changing priorities and deadlines.
  • Demonstrated awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds, and orientations.
WORKING CONDITIONS & PHYSICAL DEMANDS:
The majority of work is performed in a normal office environment not subject to extremes of noise, temperature, odor, etc. Operates computer, printer, photocopier, scanner, and other office equipment. Work requires extended computer use involving repetitive small muscle tasks. Occasionally required to lift and move heavy objects, such as boxes of files.
