Job Description

Human Resources Administrator

Provide employees with an available first point of contact for questions and guidance on fundamental HR topics and issues as well as personal benefits and payroll questions.

Recruiting & Hiring

  • Conduct screening interviews, act as point of contact for recruiters, run background and credit checks and prepare questions and call candidate references.
  • Prepare offer letters, confidentiality agreements and all new hire paperwork for new employees.

Payroll Administration

  • Payroll and Benefit vendor management
  • Prepare and maintain employee files assuring compliance and confidentiality.
  • Responsible for timely, accurately, and compliantly processing bi-weekly payroll for 9 employees in 3 states. Process employee data for new hires, changes, additional earnings such as overtime, etc.
  • Audit and process payroll documents related to IRS notices, state unemployment changes, etc.
  • Annually set up and distribute Holiday and Payroll schedules to employees.
  • Timely termination of employees in both payroll and benefit systems
  • Process employee time & attendance data (for hourly employees) to payroll and reconcile variances.
  • Create QuickBooks journal entries for payroll, employee deductions for health insurance, and 401k employee and employer matching contributions.
  • Process Employee Annual W-2s in January
  • Compile payroll data such as garnishments, vacation time, insurance, and 401(k) deductions
  • Maintain Paid Time Off (vacation and sick leave) records on spreadsheet.
  • Calculate allocation of monthly salaries and benefits between business and personal entities.

Benefits Administration

  • Send benefits invoices to Accounts Payable Accounting Associate to be paid monthly
  • Employee on-boarding for new hires which includes distributing enrollment materials and determining eligibility
  • Manage 401(k) loans/withdrawals and termination paperwork
  • Liaise between brokers and employees regarding benefit claim issues, plan changes, plan provisions, enrollment and status changes
  • E-verify I-9s and determine the proper handling of retirement notifications, workers compensation claims, and life insurance claims.
  • Prepare annual 401(k) census for Third Party Administrator
  • Administer all employee benefit programs such as medical, dental, Life/AD&D, LTD, vision, and 401(k). Responsibilities include:

  • Setup/attend annual funds review meeting
  • Process all 401(k) employee and employer contributions
  • File necessary federal and state benefits reports (annually)
  • Work with benefit brokers to conduct annual benefits review. Conduct research, analyze plan options, conduct cost analysis and makes recommendations to CFO.

Other Health Insurance

  • Manage order prescriptions via Aetna/CVS, assist as needed with Medicare and other medical claims for individual related to client
  • Manage all of client’s medical invoices, EOB’s and file claims with their insurance (if the provider did not) for client to get reimbursed

Other

  • Participate in internal audits to ensure accuracy of employee records in HR information system.
  • Assist with HR special projects or initiatives as needed (e.g. handling of covid including how to handle requesting employees to take covid tests, determining employee sick pay, writing new policies for working at home, etc.)
  • Manage annual performance review process.
  • Run and compile monthly and ad hoc HR reports.
