Job Description
The successful candidate will help the Recruiting team ensure people-friendly systems and services, provide detail-oriented data-entry and audits, and provide first-line assistance to potential employees and hiring managers. This role will also be the main contact and processor for Security Checks for certain employees, which requires some skill in Excel and Adobe.

The Human Resources team seeks a skilled HR Administrative Assistant. This is a non-exempt, hourly paid, regular benefitted role.


  • Willingness to learn UKGPro; prior experience working with UKG (preferred) or other HRIS
  • Exposure to recruiting, including job description review, advertising, resume screening, background checks, and reference checking.
  • This role requires a high degree of confidentiality in dealing with employee data, including background checks, PII and salary information.
  • This position will also provide key support to the Recruiting team and will be responsible for providing comprehensive, confidential administrative services and support to the department and internal/external clients.
  • Prior experience with or ability to learn about written offers of employment


Core Focus Areas


  • Act as main point of contact for Security Checks processing post-employment for certain employees as IES Corporate Security Liaison (up to 50% of role)
  • Special projects as assigned
  • Provide key support to the Recruiting team and will be responsible for providing comprehensive, confidential administrative services and support to the department and internal/external clients.
  • Provide clerical and administrative support to Human Resources with other duties as assigned
  • Assist with the recruiting process from the point of an initial new hire request through to creating candidate offers of employment
  • Work with the Recruiting team and Operations Coordinators to keep opportunities and communications accurate in UKGPro Recruiting, including unsuccessful candidate follow-up
  • Support processing and posting position openings on intranet/job boards, applicant responses, resume screening, reference checks, and offer letter creation


What Were Looking For


  • LinkedIn experience is helpful
  • Ability to work core hours in Pacific Time (10 am 3 pm)
  • Excellent organization and time management skills; must have demonstrated ability to organize and prioritize workload to manage multiple deadlines in a fast-paced environment.
  • Ability to successfully obtain a Department of Education security clearance within 2 months of start date.
  • Any HRIS experience is helpful, but UKG Pro / Ultimate Software would be a bonus.
  • Previous experience (1-3 years) as an office or executive assistant and/or previous experience (3-5 years) with Human Resources, particularly around HRIS, background checks, and data entry.
  • Detail-oriented and ability to complete assignments in a timely fashion with a high degree of accuracy and confidentiality
