Responsibilities*
Under the direction of the Faculty Affairs Manager, the HR Faculty Specialist will:
Characteristics Duties and Responsibilities
Human Resources Management of Tenure/Tenure-Track Faculty Appointments
- Process faculty reports as requested; complete annual faculty reporting in consultation with the Faculty Affairs Manager
- Assemble and maintain all faculty personnel records, in compliance with legal requirements and university protocols, periodically conduct audits ensuring required forms are in personnel files, annually prepare files for archive or destruction according to document retention requirements
- Assist the Faculty Affairs Manager with administrative tasks associated with faculty appointments, when needed
- Under direction of the Faculty Affairs Manager, coordinate faculty leaves; send out annual leave notices to all faculty, ensure all leave requests are ready for Executive Committee review; ensure approved leaves are reported to central HR for follow up approval letters.
- Process all faculty HR transactions PARs; ensure all HR data is current and accurate; manage deadlines ensuring PARs are completed on time.
- Continually review and update faculty appointment data.
- Manage all faculty medical leave(s); process PAR to ensure leave information added to University wide HRIS databases; liaise with Work Connections to ensure leaves are approved.
- Process annual merit upload for faculty; process annual merit letters for faculty.
Faculty Recruitment
- Assist search committee chairs with Interfolio, train as needed.
- Under direction of the Faculty Affairs Manager, support the recruitment efforts for T/TT faculty. Responsibilities include:
- Create and manage job postings in eRecruit, Interfolio and external sources as needed.

- Coordinate faculty campus visits, including reservations, catering, airline reservations, hotel accommodations and airport transfers
- Process reimbursements as needed

- Under the direction of the Faculty Affairs Manager, facilitate new faculty onboarding and offboarding processes
- In collaboration with the Stamps HR Manager, support visa (J1/H1B/O1) processing; communicate with faculty on required documentation and work with the International center to complete the work visa process.
Other Duties:
- Support faculty committees & shared governance as needed in collaboration with the Faculty Affairs Manager
- Faculty Compliance; follow up as needed to ensure compliance in the following areas, I9, mandatory training, effort certification and others that arise.
- Attend Academic HR meetings as the Stamps contact for TT faculty matters
Required Qualifications*
- Data entry experience
- Administrative assistant and customer service work experience (internships and student employment count)
- Bachelor’s degree, or equivalent combination of education and experience
