Job Description

FAMILY OFFICE OVERVIEW

In 2020, Kovitz launched Family Office Services (FOS), a dedicated team that provides essential services for building and preserving wealth to high and ultra-high-net-worth individuals and their families. Our FOS team advocates for our family’s best interests, mission, and legacy.


ROLE OVERVIEW

As the Head of Operations, you will assume a pivotal role, serving as a liaison between the FOS Team, valued clients, and diverse functions within Kovitz. With a strategic mindset and a keen eye for growth opportunities, you will lead efforts to optimize operational efficiency. You will also play a focal role in shaping and nurturing the foundation of Kovitz FOS, building from the ground up and propelling the organizations strategic goals.


JOB RESPONSIBILITIES


Meeting Planning & Preparation

Client Meetings:

  • Prepare and deliver client meeting summaries
  • Work with an FOS Lead Advisors to schedule, coordinate, and plan client and prospect meetings
  • Coordinate with various internal and external stakeholders to ensure timely completion of client meeting follow up/action items
  • Prepare presentations leveraging PowerPoint
  • Attend client meetings and document relevant takeaways

Team Meetings:

  • Create project plans
  • Work with the Director and other FOS leaders to coordinate and plan internal team meetings
  • Set meeting agendas
  • Document follow-up action items and perform follow-up as needed


Operative Responsibilities

  • Work with outside vendors to obtain information on outside private investments and link to Addepar
  • Ensure the accuracy of client Ownership Structure within Addepar
  • Perform ad hoc analyses for clients
  • Collaborate with the Back-Office Team on Addepar customization, our portfolio management technology

Tax-Related Responsibilities

  • Gather external tax documents when necessary
  • Ensure critical tax-related documents are shared with the Tax Team


Investment Responsibilities

  • Ensure client-specific constraints are adequately reflected in our systems
  • Initiate trades for clients
  • Understand current portfolio positioning and rebalancing opportunities
  • Understand investment thesis and applicability to client relationship


Marketing Responsibilities

  • Expand and enhance our client deliverables
  • Standardize and improve marketing materials and their efficient distribution to clients and prospects
  • Coordinate with internal marketing team and utilize Seismic


PREFERRED SKILLS & EXPERIENCE

  • Client-centric focus
  • Familiarity with various investments, asset allocation, and portfolio management
  • Must collaborate and work well with others
  • Competent with various technologies, including Excel, PowerPoint, Outlook, CRM, Addepar, etc.
  • Ability/willingness to learn proprietary trading software
  • Prior and relevant work experience in a Family Office setting required, including an understanding of complex family structures
  • Highly organized
