Job Description
Job Summary
Working under the guidance of a Physician, and reporting directly to the Sr. Program Manager Genetic Counselor, provides clinical, administrative and scientific support for the clinical and genetic testing processes. Provides administrative support for pre-clinic and post-clinic activities, including coordinating medical records and chart preparation, clinical visit documentation, post-visit follow-up care coordination and documentation.
The Genetics Clinical Assistant shall be responsible for:
  • Submit QI and safety tickets to contribute to the optimization of operations
  • Review clinic notes and assisting with the coordination of the follow-up plans
    • Review and track clinic notes
    • Review and track physician/patient plan and assist with follow-up coordination
    • Assist in follow-up care coordination with other providers
  • Organize medical records and distribute
  • Assist with documentation of the patient visit
  • Additional duties:
    • Gathers and synthesizes data, resources, and literature related to relevant genes, variants, diagnoses and test results to assist physicians in preparing for clinical visits with patients/families.
  • Review and track physician/patient plan and assist with follow-up coordination
  • Assist in follow-up care coordination with other providers
  • Ensures all records are collected and available for review with physician
  • Help communicate and prepare around special needs for patients and families
  • Track laboratory results with the reference laboratories and/or Lab Control regarding the return of results
  • Provide general assistance to patients and families to/from clinic and help provide additional resources
  • Communicate with clinical administrative team around urgent appointments
  • Review and track clinic notes
  • Gathers and synthesizes data, resources, and literature related to relevant genes, variants, diagnoses and test results to assist physicians in preparing for clinical visits with patients/families.
  • Assist with tracking of no-shows and cancellations for follow-up
  • Assist families with scheduling appointments in other divisions, make sure they’ve gone to laboratory for testing
  • Prepare and prepopulate documentation with physician
  • Assist with coordination of daily physician schedule
    • Communicate with clinical administrative team around urgent appointments
    • Assist with tracking of no-shows and cancellations for follow-up
    • Assist in moving appointments related to moving scheduled days in clinic
    • Help communicate and prepare around special needs for patients and families
  • Contacts families to get medical records releases signed/transmitted
  • Assist in moving appointments related to moving scheduled days in clinic

    • Contacts families to get medical records releases signed/transmitted
    • Ensures all records are collected and available for review with physician
    • Prepare and prepopulate documentation with physician
  • Track laboratory results and follow-up appointments

  • Assist physician with documentation and follow-up plan coordination
  • Supports the program’s quality improvement for the program by providing data for Quality Improvement program
  • Other duties as assigned
  • Prepares patient education materials and patient-centered educational events.

In order to qualify you must have:
  • A Bachelor’s Degree required in Biological Science, Clinical Laboratory Science or related scientific field
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
  • Ability to gather and synthesize data, resources, and literature related to relevant genes, variants, diagnoses and test results.
  • Strongly preferred one year of experience in either a laboratory setting or healthcare or insurance customer service setting
  • Ability to work effectively with diverse internal and external constituencies.
