Job Description

Position Summary

As a member of the Food and Beverage Team, the F&B Coordinator is responsible for assisting in the overall planning of the Club’s private events, tournaments, and club events while working cooperatively with other departments. The F&B Coordinator must possess the leadership skills necessary to mentor the departmental staff. The F&B Coordinator will coordinate with the Director of Catering, Assistant Manager, Executive Chef, Assistant General Manager/Director of Food & Beverage, Food and Beverage Manager, and Food & Beverage Supervisors to maintain the highest standards of food and beverage service and is creative in room setups and presentation. He/she will create and apply relevant marketing principles to assure that the wants and needs of the club’s members and guests are consistently exceeded.


Position Responsibilities are, but not limited to:

·Responsible for planning and preparation of all arrangements for member private events, banquets,

luncheons/dinners, meetings, and other social events. Works with members to determine objectives and

requirements for their events and to meet their budget including menus, room setup, color of linen, entertainment,

lighting, decorations, flowers, centerpieces, etc.

·Responsible for the communication of all necessary event information with culinary, service, and housekeeping staff;

arranges for the printing of menus, procuring decorations, entertainment, and other special requests.

·Responsible for inspecting and performing quality checks for every event prior to the scheduled start time of the

event; may be present to oversee the actual greeting and/or servicing of the event. Critiques function to determine

future needs and to implement any changes for increased quality.

·Finalizes Banquet Event Orders on a daily basis with all necessary billing information for the Accounting

Department. Responsible for the timely communication to the banquet and Culinary staff of the event attendance,

event timing, and event changes as they occur.

·Works with Food and Beverage Leadership Team to guide the planning process and execution of Club events.

·Assists in the oversight of all “Clubs within the Clubs” weekly/monthly/quarterly events along with all Summer &

Holiday Parties

·Assist the Director of Communication & Member Services in developing promotions to advertise and market the

Club’s social event facilities and capabilities to all members.

·Responsible for all vendor communication and coordination.Ensures that vendors follow club policies when on Club

property, provide required insurance certificates, and are providing the highest level of service and quality products.

·Maintains past and potential client files; schedules calls and visits to assess ongoing needs of prospective clients for

catering services. Continues to acquire knowledge of the latest trends of special events and services by studying

trade publications and attending seminars.


Qualification Standards

Education/Experience

·Bachelor’s Degree in Hospitality Management or minimum 2 years experience in the field of Event Planning,

Private Club experience a plus.

·Good human relations skills, and strong verbal and written communication skills to effectively deal with people at

different organizational levels both inside and outside the organization.

·Well-developed problem-solving skills and ability to develop conceptual alternatives. Must possess the ability to

seek out new methods and innovative ideas and be willing to incorporate them into existing activities and practices.

·Highly organized with the ability to multi-task.

·Clubessential, Cloud Reserve, Canva, Opentable, and Social Tables experience is a plus.

·Basic computer skills (Word, Excel, Outlook, etc.) knowledge essential.

·Work independently while understanding the necessity for communicating and coordinating work efforts with other

employees and organization.
