About The Opportunity

Working directly as a main point of contact for a portfolio of customer accounts, managing and executing their meetings needs within their Strategic Meetings Management Program. Reports weekly to the Strategic Meetings Management Team Leader on the status of the workflow across multiple jobs and event specific tasks. Reports quarterly to the Strategic Meetings Management Team Leader regarding competency, growth, development and Brightness of Future. On average, on Meeting Managers travel 0 - 5 times a year to execute pre-event site inspections, onsite for event days (often not required) and industry events and conferences. Travel requirements may vary dependent on accounts.

Key Responsibilities

Event Management:

  • Maintain files with accuracy for all event critical documents, reporting and communications
  • To build and manage the event registration websites, mobile apps and virtual event platforms
  • Implement event processes, standards and measurements across all events. Ensure all deliverables are provided
  • To manage a portfolio of small to medium size meetings as part of Strategic Meetings Management Programs including but not limited to food and beverage, breakout rooms, audio visual requirements, ground transfers, and off-site functions
  • To build and manage the event budget, from creation, ongoing updates and post event reconciliation
  • To conduct venue sourcing, contracting and negotiation for each meeting venue

Communication:

  • To meet customer specific SLAs
  • To respond to all client and delegate enquiries professionally and within the agreed timeframes and to ensure customer satisfaction with the response
  • To maintain effective and customer focused communication throughout with all stakeholders

Administrative:

  • To assist with both per event admin tasks and business related tasks to keep the business operating.

Training:

  • To participate in the available training opportunities as directed by your Team Leader
  • To have competency, growth & development top of mind at all times. To take interest in individual "Brightness of Future".

Experience & Qualifications:

  • Tracking and handling of acquiring commission payment and requests from hotel partners for all commissionable groups programs
  • Occasional evening and weekend work may be required as job duties demand

  • Assist with relationships and contracts with service providers to deliver value added services and competitive costs
  • Negotiating hotel and vendor contracts to achieve best possible agreement

  • Ability to learn FCM's One Best Way processes and templates in place, and ensure these are followed for each task including the risk management policies
  • To manage and reconcile event budgets
  • Education Bachelor’s Degree in marketing, communications, hospitality, business or related field preferred or an equivalent combination of education and experience will be considered in lieu of a degree
  • Creating long- and short-term plans, including setting targets for milestones, adhering to deadlines and allocating resources
  • Ability to prioritize a large volume of tasks that are simultaneously assigned
  • Desire and ability to stay up-to-date on all general event trends, product knowledge, and knowledge of destinations and suppliers
  • Addendum management, budget management, legal review and client process compliance management
  • Adheres to customer SLAs
  • Use data effectively to improve your programs, including looking at lists and summaries, looking for patterns, analyzing results, and making presentations to others
  • Recognize and celebrate team member’s contributions
  • Experience A minimum of 3 years demonstrated meeting management experience

  • On average, Meeting Managers travel 0 - 5 times a year to execute pre-event site inspections, and to be onsite for event days.

  • Event Management Technology experience: Cvent registration sites, mobile app, and venue sourcing platform preferred
  • Able to communicate effectively with all audiences (stakeholders, clients, and teammates) using written, graphic and verbal expression
  • Has experience working with event management technologies (i.e. registration sites, mobile app, virtual event platforms)
  • Is persistent and self-driven
  • Travel requirements may vary dependent on accounts

  • Expected Hours This is a full-time position. Typical work days and hours of work are Monday through Friday, 9:00am to 6:00pm
