Job Description
Friends School is a Quaker, co-educational, college preparatory school, Pre-K through Grade 12, in Baltimore City, enrolling 803 students, 44% of whom identify as children of color. Position Summary: Friends School of Baltimore has an opening for an Executive Assistant to the Head of the School. The Executive Assistant to the Head of School is primarily responsible for managing and supporting the work of the Head of School, in line with the School's mission, as well as serving as liaison to the Board of Trustees. This position will help the Head of School manage their time effectively, serve in an advisory role, and represent the Office of the Head of School to internal and external constituents. The Executive Assistant to the Head of School reports directly to the Head of School (HOS). Major Responsibilities: Support the Head of School Support the annual goals and priorities of the HOS. Manage the Head's calendar and appointments. Proactively plan for, and prepare the HOS in advance of any meeting, event or off campus activity in a timely manner. Greet visitors to the Head of School's Office. Assist in the creation and distribution of communications from the Head's Office. Oversee professional study, summer sabbatical grant, and other programs through the Head's Office. Serve as liaison with the Stony Run Meeting, AIMS, Baltimore Educational Scholarship Trust (B.E.S.T) and other external groups as needed. Oversee personnel records housed in the Head's Office. Prepare annual faculty contracts in partnership with Human Resources. Process accounts payable and receivable for the Head's Office. Support the planning and organization of school-wide events including meetings, special events, professional days, job search visits and accreditation visits. Assist the School's Administrative Council Schedule all Administrative Council meetings, retreats and other events Support the School's Administrative Council in implementing decisions. Assist in the process of developing the annual school-wide calendar. Support the Friends School Board of Trustees Coordinate the gathering, electronic posting and distribution of materials for monthly Board meetings. Oversee the planning and execution of Board-related events including the annual board retreat, orientation, meetings and dinners. Attend all Board meetings and take minutes for the group. Attend Board Executive Committee meetings and support the Head of School in staffing that committee. Serve as liaison between the Board and the School administration. Provide clerical support to the Board and Committee clerks (e.i., chairs). Monitor the various communication platforms used by the Board of Trustees to ensure they are up to date and appropriate for the needs of the Board. Serve as liaison between the Head of School and the Development Office Track and update the Head of School's solicitor action database. Arrange solicitation tours and meals for the Head and constituents. Coordinate meetings with the Head and the Parents Association leadership. Qualifications: Essential Skill Sets, and Competencies: Bachelor's degree preferred. Minimum 5 years of administrative or customer service experience; and/or significant independent school experience. Proficiency with Microsoft Word, Excel, Power Point, Outlook, Google Workspace services, and other software tools, as well as the ability and eagerness to learn new systems and applications. Familiarity with Blackbaud and various database tools is desirable. Experience with project management, meeting coordination, schedule/calendar and event management. Critical thinking skills and the ability to problem solve with poise. Flexible work style with the ability to multi-task and respond to sudden needs as they arise. Customer-Service driven work ethic. Must be able to adhere to the highest standards of confidentiality. Ability to make decisions independently and work collaboratively with a team. Able to offer a warm and welcoming environment in the Head's office. Strong cultural sensitivity and the ability to have successful interactions within a highly diverse community. Excellent communication skills, both verbal and written. Superior organizational and time-management skills. Strong writing and editing skills as well as ability to adapt Head of School's writing-style; Ability to foresee issues before they arise as well as have an innate sense of Head of School's needs. Unwavering patience under duress in a variety of working environments; and Capacity to manage and navigate a wide array of personalities, while cultivating community support for Head's initiatives. Ability to proactively assist the Head of School with strategic and executive functions and manage changing priorities smoothly. Sense of humor. Eagerness to learn.
