Your Responsibilities
As our Executive Assistant, you'll be a vital asset to the CEO, supporting them in various administrative tasks to ensure seamless operations and effective communication. Your responsibilities will include:
Independently drafting high-quality written materials, such as letters, emails, spreadsheets, newsletters, reports, presentations, and meeting minutes.
Providing top-notch administrative support, including scheduling meetings, coordinating travel plans, preparing meeting materials, and handling incoming calls.
Collaborating closely with the CEO to manage their commitments and priorities, ensuring smooth workflow and anticipating needs proactively.
Organizing and coordinating meetings and special events, from generating invitations to arranging conference rooms and AV equipment setup.
Nurturing the CEO's relationship with the Board of Directors by coordinating meetings, managing board packets, and keeping track of committee assignments.
Acting as the CEO's gatekeeper and maintaining confidentiality with the utmost integrity.
Conducting research and managing special projects as needed, assisting the CEO in various business-critical tasks.
Preferred Qualifications
Associate's degree required; Bachelor's degree preferred.
At least five years of executive admin support experience; 10 years in a non-profit organization is a plus.
Exceptional written and verbal communication skills with a keen eye for detail.
Proficiency in Microsoft Office (Word, Outlook, Teams, Excel, and PowerPoint), Adobe Pro, Zoom, and other web-based applications.
Excellent interpersonal skills and the ability to communicate effectively across all levels.
Highly resourceful team player with a knack for multitasking and meeting high-priority objectives.
Strong customer service orientation, resolving issues promptly and respectfully.
Ability to summarize and communicate complex information effectively to various stakeholders.
Demonstrated ability to excel in a fast-paced environment and meet tight deadlines.
