About the Role


As ADVANZ PHARMA continues to strengthen its position as the partner of choice for specialty, hospital, and rare disease medicines, we have an exciting opportunity for a Executive Assistant.

The Chicago Commercial team are seeking an experienced, confident , self-starter to support the office and US General Manager. Providing Executive assistance to the General Manager (GM), USA / GM Pinnacle Biologics, to ensure appropriate planning and organization of workload is achieved.


This role will involve delegating for the GM within the appropriate timeframe and to appropriate standards. Managing assigned standalone projects as required by the GM and working closely with the Advanz Pharma US Pinnacle Biologics Teams and next levels in the organization. Management and assisting with any local financial matters not covered by the group Advanz Pharma Finance team in relation to Advanz Pharma US or Pinnacle Biologics, which contributes to around 25%.




What You’ll Do:

  • Drive the spirit of “One Team” by working collaboratively across all business functions with an open, honest, and respectful cooperation
  • Manage the Advanz Pharma U.S. / Pinnacle Office in Bannockburn in regard to vendors maintenance and office supplies
  • Support the wider Global HR Team in onboarding of new employees and any HR employee related tasks, where appropriate
  • Coordinate schedules, arrange meetings, prepare documents/notes proactively ahead of meetings
  • Gain information, study commercial aspects of the business and generate reports as needed from time to time by the executives
  • Consistent demonstration and embodiment of company core values: Entrepreneurship, Speed, and Integrity
  • Organize agendas, meeting logistics, take minutes of meetings and follow up to completion on action points assigned
  • Ensure all queries from employees are brought to the immediate notice of the management and dealt with promptly and efficiently

  • Prepare PowerPoint presentations as required
  • Discreetly provide Management with associate feedback on various decisions and announcements made

  • Complete all allocated projects within the agreed timeframes

  • Coordinate/organise national/international events requiring coordination with internal and external stakeholders
  • Ensure full confidentiality always
  • Coordinate/organise complex international travel arrangements with the corporate travel agents, provide the GM with timely and clear travel schedules ensuring all travel logistics are organized
  • Have a bias for action and fast decision making.
  • Ensure full administrative support and timely information is provided, to ensure the smooth and efficient running of the GM, USA office
  • Handle correspondence i.e. e-mails, where appropriate

Qualifications:

  • BS/BA completed four-year degree is desired but not essential



Knowledge, Skills & Experience:


  • Learning agility and ‘scalability’, with a desire to continuously improve and develop as ADVANZ grows
  • A positive and ‘can-do’ approach, biased towards finding solutions and embracing change
  • At least 2-3 years EA experience working in a fast paced organisation, ideally in a pharmaceutical industry however open to other industries

  • Excellent attention to detail and communication skills both written and verbal
  • Confident self-starter with the ability to problem solve and manage own day to day workload
