Job Description

General Description


The Public Schools Superintendents' Association of Maryland (PSSAM) is seeking qualified candidates for the position of Executive Assistant. This position requires 20-25 hours of remote work per week, with a considerable amount of flexibility and virtual work opportunity. The employee will report to Mary Pat Fannon, Executive Director of PSSAM. Applicants must be based in the Baltimore/Washington D.C region in order to commute for occasional in-person events.


Specific Duties and Expectations


  • Assist in the maintenance of all financial accounting and records
  • Perform other duties as assigned
  • Take minutes of meetings
  • Utilize PSSAM’s legislative database
  • Schedule and organize meetings as needed
  • Provide logistical support for PSSAM and affinity group meetings
  • Assist the Executive Director with inquiries by email, telephone, and face-to-face
  • Assist the Executive Director in researching and writing testimony
  • Help maintain and update PSSAM’s social media and website
  • Maintain the office calendar
  • Maintain contact lists and directories
  • Answer and direct phone calls
  • Work on special projects as directed by the Executive Director or any member of PSSAM
  • Develop and maintain electronic and manual filing systems
  • Help prepare written materials for meetings, including agendas, and presentations
  • Prepare and distribute written correspondence


Qualifications


  • Proficiency in Google Workspace, including platforms such as Drive, Docs, Sheets, Slides, Gmail, etc.
  • Ability to work well as part of a team
  • Experience in communications via social media platforms such as Twitter & LinkedIn (preferred, not mandatory)
  • Ability to multi-task and prioritize
  • Excellent interpersonal, written, and verbal communications skills
  • Strong organizational, planning, and time management skills
  • 2-4 years of office management experience is preferred
  • Attention to detail and problem-solving skills
