The Oklahoma History Center (OHC) houses the Oklahoma Historical Society’s (OHS) administration as well as the agency’s offices of State Historic Preservation Office, Museums & Sites, Research Division, and the Oklahoma Museum of History (OMH). The OHS is an agency of the State of Oklahoma and a private membership organization governed by a Board of Directors.


The mission of the Oklahoma Historical Society is to collect, preserve, and share the history and culture of the state of Oklahoma and its people. The OHS was founded on May 27, 1893, by members of the Territorial Press Association. In 1918 the OHS was relocated to the State Capitol, and in 1930 moved to the Wiley Post building. In 2005 came the opening of the Oklahoma History Center in Oklahoma City. Over the years the OHS has developed numerous collections, programs, research centers, museums, historic homes, and military sites across the state.


About The Role


The OMH Events Supervisor will lead a cross-functional team and oversee all day-to-day operations of the Events staff located inside the Oklahoma History Center. This position will report to the OMH Deputy Director. This role focuses on ensuring the Events team provides an exceptional customer service experience through events. The Events Supervisor establishes and promotes a visitor experience consistent with the mission of the Oklahoma Historical Society.


The ideal candidate will possess a college degree in a relevant field or 5+ years of progressive experience in Event management, sales, or the hospitality industry with supervisory experience. The Events Supervisor must have strong interpersonal skills and be a team player with the ability to work effectively with staff and stakeholders. This position is customer service centric.


Requirements


  • Customer-centric mindset that provides support to patrons and troubleshoots potential issues
  • Fluency in event systems, Event Pro Preferred
  • Demonstrated supervisory experience
  • Ability to foster teamwork, work cooperatively with others to set goals, resolve problems, and make decisions that enhance organizational effectiveness
  • Strong interpersonal skills and excellent written and verbal communication
  • Interest in Oklahoma history
  • Extensive experience and ability interacting tactfully with large and diverse groups
  • Experience with Microsoft Office


Responsibilities


  • Supervise OMH Events full-time employees and part-time employees, including ensuring appropriate scheduling for staff for normal operations and after-hours events
  • Track daily, monthly, and annual attendance figures for events.
  • Oversees and delegates the Event team duties as needed
  • Creating and updating procedures
  • Monitor and purchase all office supplies, display supplies, equipment, and fixtures
  • Troubleshoots AV/IT equipment and assists with replacement, update and new equipment purchase and installation
  • Updates Event training manual and procedures
  • Collaborates with other OHC departments to ensure Event staff have a baseline level of knowledge of OHC departments, special events, exhibit interpretations, and security protocols.
  • Organizing and promoting sale events
  • Provide a high level of customer service both in-person and through email and phone calls.
  • Works with Events staff to book clients for rental spaces
  • Acts as coordinating member for all OHC/OHS sponsored events, schedules dates, attends meetings, selects catering, floor plans, décor, AV/IT and other necessary components as requested
  • Tracking daily, monthly, and annual sales
  • Follows OHS and state financial policies and rules
  • Strives to continually improve the standards of the visitor experience


Working Conditions


Physical requirements include stooping, kneeling, bending, standing, squatting/crouching, crawling, pushing/pulling, climbing (including ladders), reaching above the shoulders and lifting up to 40 lbs. Lifting and transporting of moderately heavy objects, such as boxes, tables, and chairs may be required.


Education And Experience


College degree in relevant field or 5+ years of progressive experience in event management, sales, or the hospitality industry with supervisory experience


Knowledge, Skills, Abilities, And Competencies


Knowledge, Skills, and Abilities required at this level include knowledge of methods and procedures concerning public contact; of telephone procedures; of spelling, punctuation and grammar; and of arithmetic. Skill is required to operate various office equipment including computers. Ability is required to work with customers; to gather data and facts; to keep records; and to communicate effectively, both orally and in writing.
