Job Description

Description :

Due to the high demand from NOV Product Lines & Sales to host technology demonstrations and meetings for customers, the need for a dedicated events associate to coordinate and host these events has risen. The Facility Coordinator is directly responsible for every aspect of the customer experience from planning through execution. He/she will serve as the representative for the STC and therefore must conduct themselves professionally, provide a welcoming environment with impeccable service, and be knowledgeable of the STC’s history, current operations, and future vision as well as that of NOV as well as being capable of archiving technical information digitally as well as hard copy formats.

Responsibilities & Duties :

  • Work directly with Marketing on various projects at the facility or connected to the facility
  • Manage STC gift shop inventory
  • Utilize the JIRA ticketing system to document details related to customer events
  • Manage facility access software and approved visitors list with the guards
  • Arrange NOV hosts, as necessary, to assist with hosting larger groups of customer tours to include host training when necessary
  • Provide customers with STC facility info prior to arrival – directions, required PPE, agenda, etc.
  • Serve as receptionist during customer events – welcoming customers, signing in customers, providing onsite support
  • Provide safety briefing to customers upon arrival
  • Coordinate between STC (including onsite testing personnel) and internal customers to schedule internal customer events (i.e. strategy sessions, teambuilding, New Product Development meetings, tours, seminars, etc.)
  • Arrange NOV subject matter experts (SME), as necessary, to demonstrate specific technologies either on the rig or in the Office Building for tour groups with direction from the Strategy group
  • Perform administrative tasks that include record keeping and archiving key information, which includes operational records as well as HSE records for the site
  • Arrange catering, as necessary – place order, pick up, set up, clean-up
  • Serve as the office manager for any Office Building needs – order office supplies, inform Operations Support when building-related supplies are needed
  • Plan and manage a budget for events and Office-related expenses
  • Coordinate between NOV Product Line & Sales, Corporate Marketing, and the STC (including onsite testing personnel) to schedule external customer events. Experience with NOV equipment, services, and technologies as well as the drilling process is a significant asset in this step as event scheduling is dependent on determining what the customer expects to see and aligning it with STC’s scheduled testing operations.
  • Manage visitor orientation forms as well as Non-Disclosure Agreements
  • Utilize Microsoft Outlook to schedule events in the Shared STC Calendar

Requirements :

  • Must have excellent communication (both verbal and written) skills
  • Must be able to quickly learn NOV’s products & services as well as STC’s history, operations, and future vision in order to adequately represent the STC and NOV in the presence of customers
  • Must be knowledgeable on Social Media platforms on a variety formats
  • Must have the ability to adapt to changing needs of the role as the facility grows
  • Must be professional, friendly, and have a strong desire to know more about the oil & gas and renewable technologies
  • Must be self-driven with little guidance
  • Must have a flexible work schedule, planned around event needs. Typical work schedule is 40-hour weeks, however some days may start earlier than others depending on customer arrival time, and some days may end later depending on customer departure time
  • Must work well with others
  • Must be able to learn a variety of software programs quickly, such as: Atlassian JIRA, Adobe, Outlook, Microsoft Products Suite, etc
  • Must document clearly
