Job Description
We are seeking a dedicated and enthusiastic Event Assistant to join our dynamic team. The Event Assistant will play a vital role in supporting the planning and execution of various events, ensuring their success and smooth operation. This individual will work closely with event managers and coordinators to assist in all aspects of event organization, from initial planning stages to post-event evaluation. The ideal candidate is detail-oriented, organized, and possesses excellent communication and interpersonal skills.


Responsibilities
  • Assist in preparing event-related documents such as invitations, agendas, and promotional materials.
  • Help research and secure vendors, suppliers, and service providers necessary for events.
  • Help manage event inventory and supplies, ensuring they are properly stocked and maintained.
  • Support communication efforts with event attendees, sponsors, and stakeholders through various channels (e.g., email, phone calls).
  • Post-Event Evaluation:
  • Event Planning Support:
  • Maintain accurate and up-to-date event databases and contact lists.
  • Assist in gathering feedback from event participants and stakeholders.
  • Support the evaluation process by identifying areas for improvement and suggesting innovative ideas for future events.
  • Aid in organizing and setting up event venues, including arranging seating, decor, signage, and audiovisual equipment.
  • Assist in coordinating and planning various aspects of events, including logistics, scheduling, and venue arrangements.
  • Event Logistics:
  • Help compile event data and prepare reports on key metrics, such as attendance, satisfaction, and expenses.
  • Communication and Documentation:
  • Assist in creating event timelines and detailed task lists.
  • Assist in coordinating transportation and accommodation for guests and participants as needed.


Requirements


  • Proficient in using event management software and MS Office suite (Word, Excel, PowerPoint).
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • High school diploma or equivalent (relevant certifications or additional education in event management is a plus).
  • Outstanding communication and interpersonal skills, both written and verbal.
  • Flexibility to work evenings, weekends, and extended hours, depending on event schedules.
  • Physical stamina to handle event setup and on-site tasks, including lifting and moving objects as required.
