Job Description
We are seeking a dedicated and skilled Program Coordinator to join our team. You will play a crucial part in coordinating various processes and programs that contribute to the success of our organization. Your expertise will be essential in ensuring a smooth flow of appointments, applications, interviews, scheduling, orientations, and committee support. You will interpret department-specific policies and procedures while providing exceptional assistance to achieve our goals.
Responsibilities
Independently manage and coordinate assigned processes/programs, including but not limited to appointment scheduling, application processing, interview coordination, pre- and post-matriculation support, orientation, and committee assistance.
Act as a knowledgeable resource, offering guidance and insight into department policies and procedures to facilitate effective workflow.
Demonstrate the ability to handle multiple tasks and challenges concurrently, exhibiting exceptional time management skills and initiative.
Utilize sound judgment in managing inquiries, phone calls, meeting arrangements, and diverse assignments.
Serve as a resource and trainer for relevant technology systems, ensuring proficiency in their usage.
Organize and maintain accurate learner/faculty data, encompassing data entry, updates, report preparation, and related tasks.
Possess a working understanding of accreditation requirements specific to the institution.
Participate in relevant courses and meetings to enhance job knowledge and represent our organization.
Qualifications
High School diploma and five years of successful experience in administrative assistant, business, or education-related roles, OR Associate's degree and three years of relevant experience, OR Bachelor's degree and one year of relevant experience.
Leadership Experience Is Preferred.
Experience in academic medical education is advantageous.
Exceptional verbal communication skills, including phone etiquette, presentations, and customer service interactions.
Proficiency in written communication, including crafting professional correspondences, minutes, and announcements.
Strong command of computer software and office equipment, such as Microsoft Office, databases, phone systems, and job-specific technologies.
A commitment to maintaining the confidentiality of sensitive information.
Aptitude for building professional relationships collaboratively across all levels of responsibility.
Adaptability and flexibility within a dynamic work environment that emphasizes skill enhancement.
Familiarity with medical licensure and visa categories is desirable (if applicable).
