Job Description

TITLE: Director of Operations


REPORTS TO: CEO


SCOPE: The Director of Operations will define processes and implement the infrastructure/ systems needed to support substantial growth over the next 5 to 10 years. S/he will build upon current processes and implement new effective and streamlined operations and financial systems, including financial, accounting, information technology and physical infrastructure. The Director will be involved in strategic planning, evaluation, and infrastructure expansion. In addition, the position will be working with key vendors including accountants, auditors, and employee services providers. This position will also supervise two part- time positions: finance administrator and SalesForce administrator.


POSITION DUTIES AND RESPONSIBILITIES:

Operations (Internal) and Management


  • Review all formal IT-related procedures, processes, and administration, recommending improvements to the systems in place and managing the systems going forward.
  • Evaluate and oversee all benefits negotiations, thus providing the most competitive packages for Organization employees (Health Insurance, Retirement, etc).
  • Manage the organization’s business infrastructure: phones, computers, etc. as well as update the employee handbook.
  • Serve as a business partner to the CEO on all banking matters and a liaison with the investment manager.
  • Engage other members of the management team in program services, research, communications, and field development to facilitate cross-department collaboration that ensures that all financial, IT, and HR solutions positively support the Fund’s evolving strategy, operational delivery, and data collection needs.
  • Serve as a business partner to the CEO on the organization’s financial, budgeting, and administrative processes – with an eye to continuously developing and improving systems.
  • SalesForce liaison in collaboration with Sr Director of Programming.
  • Oversee all HR management including the hiring and on-boarding of staff.


Operations (External)


  • Assist with Underserved Program: Work with Sr Director of Programming in tracking grant recipients, grant applications and progress reports.
  • Assist with financial and budget aspects of two annual signature events: Celebration Run/Walk and Golf Classic.


Financial Management


  • Oversight of check signing as well as banking relationships.
  • Work with the auditors on preparing annual audit.
  • Supervise part-time finance administrator to ensure payroll, HSA, retirement contributions are administered and monitor the use of all funds.
  • Provide staff support for board level Finance Committee, coordinating quarterly teleconferences and preparing necessary materials.
  • Oversee the preparation and approval of all financial reporting materials and metrics for funding organizations and Organization’s board of directors; prepare and communicate monthly and annual financial statements.
  • Ensure maintenance of appropriate internal controls and financial procedures.
  • Assist in the oversight of budgeting process, and the implementation of budgets, so as to monitor progress and present operational metrics both internally and externally.


Candidate Qualifications

  • Demonstrated resourcefulness in setting priorities, proposing new ways of creating efficiencies, and guiding investment in people and systems.
  • Flexible and a self-starter; able to multitask while also being highly detail oriented.
  • An effective communicator, with strong oral and written skills.
  • Be ready, willing, and able to take on other duties as assigned.
  • 5+ years experience in similar roles and responsibilities.
  • Demonstrated experience in financial management and accounting, ideally in the nonprofit sector. Experience should include legal, audit, compliance, budget, and resource development.
  • Excellent people skills, with experience collaborating in a multi-disciplinary, diverse, and dynamic team.
  • Personal qualities of integrity, credibility, and a commitment to the Kay Yow Cancer Fund’s mission.
  • Experience with SalesForce, Classy, Quickbooks platforms preferred.
  • Technologically savvy, with an ability to point to examples of having worked with IT staff to develop and implement processes and systems that increased efficiency in a fast-moving environment.
  • Bachelor’s degree with a focus in Operations.
