Office of Development manages the Trustees, institutional partnerships, leadership giving, the International Advisory Council, the Brookings Council, the Brookings Society, and overall fundraising strategies for the Executive Office and Institution at large.



Position Location This position is hybrid. Hybrid positions combine regular in-person presence at our Washington, DC office with the option of at least two days of remote work each week.

The Development Coordinator provides key support to the Central Development frontline fundraising team in meeting Brookings’s fundraising goals. The Development Coordinator helps to organize corporate and individual unrestricted and select multi-program solicitations within the Central Development portfolio, assists with stewardship activities, producing fundraising and stewardship materials, and is responsible for data entry and information tracking. The Development Coordinator will also work with several counterparts in similar positions throughout Development and other Programs.


Data Entry and Administrative Support (70%)


  • Maintains internal email lists for email blasts to the Brookings Council, Society, and other donor groups
  • Proactively manages and maintains the calendar and contacts of the Fundraising team, including the Director of Development as well as the Deputy and Assistant Directors of Development; arranges internal and external appointments and anticipates the fundraisers’ needs for information and materials.
  • Prepares expense forms and reimbursements for various staff members
  • Schedules and coordinates travel arrangements for fundraising team, including developing itineraries, transportation, lodging and assembling travel packets.
  • Process any invoices for payment and contracts for execution, as needed
  • Prepares gift invoices for donors as needed.
  • Tracks donor/prospect meetings in the database and updates records, along with other relevant correspondence or actions.
  • Works with the Donor Research Manager on additional prospect research projects, as needed.
  • Maintains Brookings Council and Society rosters and attributes for all correspondence.
  • Execute mail merges and paper mailings as needed.
  • Prepares meeting agendas, documents, and other necessary materials.
  • Order supplies for all of Central Development, as needed.
  • Maintains and pulls lists from RE NXT regularly; formats and prepares lists for fundraiser needs
  • Maintains and reviews donor files in Raiser’s Edge NXT database (RE NXT) regularly; records and checks recent correspondence or meetings to assess constituents’ interests and nature of relationship with the Institution; tracks and records fundraiser activity and metrics.


Donor Stewardship and Events (30%)


  • Assists in scheduling, planning and executing donor and prospect meetings, including managing logistics, collecting relevant materials, coordinating with program staff, and assisting in event follow-up with the donor or prospect.
  • Executes semi-annual book mailings.
  • Coordinates itineraries, travel plans, and logistics with appropriate colleagues for offsite donor and prospect meetings to be attended by the President, Vice Presidents, and/or scholars during their domestic and international travel coinciding with Council and Society events.
  • Assists Donor Stewardship Manager with gift acknowledgements
  • Work with the Donor Engagement team to create event invitation lists, event packets, and contributes to the briefing memos and donor profiles for Brookings Council events
  • Through general reading, research, and attendance at events, keeps up to date with Brookings research programs and donor interests. Notifies Relationship Manager of donors with particular interests and informs them about Brookings events and activities, as appropriate.
  • Answers donor inquiries, as appropriate.
  • Staffs Brookings events, as needed.

Education/Experience Requirements


Qualifications Bachelors’ degree required. Minimum of two years of professional experience required. Experience in public sector office (e.g., government, non-profit, or policy/political organizations), staffing events/conferences, and/or providing customer service. Experience planning donor meetings and writing solicitation letters preferred. Must be authorized to work for any employer in the U.S.


Knowledge/Skill Requirements


Interest in public policy preferred. Excellent interpersonal, organizational, administrative, and communication skills required. Must be attentive to detail, discreet, and dependable. Must be able to exercise good judgment, take initiative, function independently and work in close cooperation with others. Must be able to coordinate a variety of tasks simultaneously in a fast-paced environment, meet deadlines and consistently follow up on details. Must demonstrate professional demeanor and communicate in a clear and polite manner in person and on the phone. Familiarity with fundraising and fundraising software, particularly RE NXT, strongly preferred. Knowledge of Microsoft Office and the capacity to learn other types of software, including RE NXT and InDesign. Must have excellent database and spreadsheet skills, including the ability to enter and manipulate data. Excellent communication skills including grammar, spelling, proofreading, and editing skills.
