Job Description
Provides clerical and administrative support for a given department in a manner that is both high quality and rapid by performing the following duties personally. Responsible for ensuring that all critical tasks are fulfilled on a timely basis.


  • Demonstrated ability to relate to diverse cultures and specifically the Gila River Community and/or other Native American cultures.
  • Demonstrates ability to regularly change priorities to accomplish all tasks despite frequent interruptions.
  • Properly executes and handles all required paperwork and authorizations such as Release of Information documents.
  • Operate office equipment such as fax machines, copiers, or phone systems and arranges for repairs when equipment malfunctions.
  • Schedules and confirms appointments for clients, customers, and/or management team members.
  • Answer telephones and give information to callers, take messages, and/or transfers calls to appropriate individuals without delay.
  • Interest in medical subjects, patient services/care, and customer service.
  • Make copies of and properly routes correspondence or other electronic and printed materials.
  • Creates, maintains, and enter information into databases.
  • Maintains focus upon patient and client needs while taking all necessary steps to ensure that those individuals are responded to rapidly based upon their stated issues and the observations of this position holder.
  • One to three years administrative experience in a medical environment, with behavioral health experience preferred.
  • Experience working within a Native American environment preferred.
  • Maintains and orders office supplies.
  • Performs routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to visitors and callers.
  • Greets visitors or callers and handle their inquiries or directs them to the appropriate persons according to their needs.
  • Performs other special projects and duties as assigned.
  • Complies fully with all confidentiality regulations and policies while not disclosing any patient or client information to unauthorized persons.
  • Completes forms in accordance with company procedures.
  • Demonstrates ability to clearly communicate, both orally and in writing, while performing all essential functions.
  • Distributes mail accurately and on a timely basis.
  • Schedules client and patient appointments in full coordination with case managers, counselors and physicians.
  • CPR Certification.
  • Sets up and manages paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
  • Maintains knowledge of all safety regulations and policies and performs all job functions in a highly safe manner.
  • Maintains scheduling and event calendars.
  • May provide occasional crisis intervention assistance in partnership with licensed staff members.
  • Conducts reminder calls regarding appointments to clients.
  • Greets patients, clients and providers upon their arrival at the facility and ensures that they are directed properly while recording any necessary information as required by policy.
  • High School Diploma, with an Associate Degree preferred.
  • Use computers for various applications, such as database management or word processing.
  • Fingerprint clearance for TCH only.
  • Prior medical environment work experience is preferred.
