Job Description
One Tech Engineering is searching for a Department Assistant position located in Kansas City, Missouri. The Department Assistant will be responsible for providing information to facilitate questions regarding projects and prepare research information.
The candidate must be a US Citizen or a green card holder, the position is not eligible for sponsorship. The candidate should have a at least of one-year applicable office/clerical experience
Local candidates preferred or open to relocation. This is not a remote position.
Department Assistant Responsibilities
  • Facilitates the dissemination of information to the department and project teams as part of the overall communications and department management process.
  • Coordinate department related issues and complaints, such as operational resources, work stations, space assignments and supplies, and follow up that resolution has been obtained.
  • Collect and distribute client bills and invoices.
  • Prepare outgoing mailings and labels, including e-mail and fax.
  • Reserve conference rooms and coordinate client, vendor and/or supplier presentations, meetings and interviews, including set-up and cleanup.
  • Coordinate travel arrangements and any other internal services for various project needs.
  • Order and maintain supplies.
  • Monitor, review, and approve standard expenditures to ensure the activities of the department are conducted within established budgets.
  • Prepare and present meeting notes, presentations and tables utilizing Excel, PowerPoint, Access and other programs.
  • Resolves questions regarding the department; research and provide appropriate answers.
  • Prepare a variety of communication including emails, meeting agendas, and meeting minutes.
  • Monitor department deadlines and benchmarks and support presentation of monthly progress reports including tracking action items and progress updates.
  • Coordinate the required training programs and records for department personnel in conjunction with the corporate training department and project requirements to ensure compliance.
  • Track status of projects and produce monthly progress reports. Maintain tracking system for projects.
  • Plan, coordinate and facilitate on-site and off-site meetings for the department. This may include: department orientation and training, stakeholder meetings, management meetings, periodic reviews, etc.
  • Assist in clericals needs on projects.
  • Responsible for handling sensitive and confidential information.
  • Schedule and set-up client interviews, presentations and other meetings as requested.
  • Provide data entry for projects.
  • Support project management team and related activities and initiatives.
  • Maintain data entry of project contact list and project execution plans.
  • General administrative support for company projects.
Requirements of the Department Assistant:
  • Candidates must be legally authorized to work in the United States on a full-time basis without requiring future sponsorship for employment visa status.
  • Excellent organization skills, attention to detail, verbal and written communication skills, and ability to handle multiple tasks.
  • Advance knowledge in Microsoft Word, Excel, and PowerPoint required.
  • Ability to work independently; demonstrating accuracy, reliability, and problem solving skills.
  • High school diploma or equivalent. Bachelor's degree strongly preferred.
  • Minimum of one-year applicable office/clerical experience preferred.
  • Demonstrated ability to communicate professionally and effectively with all levels within an organization and with others outside of the organization (i.e. clients, vendors, business partners, community leaders).
  • Excellent communication in verbal and written format; technical writing and creative writing as well as proofreading and editing is preferred.
