Job Description

Objective:

Ensures the approved, on-time and orderly flow of all advertising materials from inception through deployment; keeps agency quality and timing of project needs at the forefront of his/her priorities.


Responsibilities:

  • Produce weekly internal status reports (agency status/pipeline)
  • Confirm creative brief is supplied before the onset of work
  • Remain abreast of all project updates
  • Anticipate and troubleshoot any potential problems that may occur during the life of a job
  • Create, manage, and maintain schedules for projects
  • Ensure assets are obtained for all production/development needs
  • Secure allocation of resources to kick off project
  • Create and communicate individual work assignments to various resources; Coordinate with Supervisor and other PMs to provide solutions with respect to resource allocation and project constraints.
  • Other duties as assigned
  • Coordinate with AE to understand project requirements and set up effective project structure.
  • Create, manage and enforce all schedules
  • Strive for the prompt, accurate and orderly flow of projects through the agency.
  • Keep all team members informed of the current status of all jobs
  • Conduct weekly project status meetings
  • Ensure adherence to final deadlines
  • Collect work and ensure approvals from creative teams
  • Input estimate into tracking system
  • Disseminate contact report to project team
  • Manage internal reviews to ensure timely and thorough input from all teams throughout the life of the job.
  • Owns the Agency Pipeline document, ensuring it’s up to date on a weekly basis
  • Assist with routing proofs and/or securing creative approvals of proofs, rough cuts, final assets, etc.
  • Conduct retrospective (all job types) session for agency learning
  • Schedule and lead kick off meeting, ensuring a review of project brief, deliverables and timing
  • Schedule internal meetings: Discovery, Kick Off, Team Internal Review, Pre-Pro


Required Background & Skills: (education, length & type of prior work experience, industry experience, software/tool knowledge, stylistic work skills, etc)

  • Detail oriented with good organizational skills
  • Bachelor’s degree (equivalent work experience will be considered)
  • Proficiency with MAC, MS office applications and web-based tools
  • Must be proactive and know when to raise a “red flag” in the interest of the quality, timeliness and accuracy of every job in the agency.
  • Basic understanding of all phases of interactive development and design, from strategy through project execution.
  • Prior project management experience working with traditional and digital deliverables.
  • 2+ years agency project management experience preferred
  • Self-managing multi-tasker
  • Basic understanding of development tools and processes.
  • Must be objective and be able to view a project as an extension of all departments, keeping work flowing smoothly through the agency.
  • Goal oriented team player
  • Excellent communication, writing, and proactive problem-solving skills
