Overview


Reporting to the VP of Creative, the Creative Program Manager will be responsible for pre + post production support to the Creative team. Working in parallel with Creative’s Traffic Manager to plan shoot dates and organize product delivery. This role will also manage and source freelance support for photo + video production, and partner with cross-functional teams on strategy and initiatives.


What You’ll Do


  • Responsible for fulfillment of all production-related documentation (i.e. releases, contractor agreements, NDA, etc.)
  • Asset Management: Lead & collaborate on the buildout & maintenance of the Creative team’s asset management system.
  • Negotiate rates for talent with their agencies in order to meet any budgetary limitations
  • Budget tracking, management on a yearly, quarterly and project-basis. Manage invoice tracking and processing in partnership with the Finance team.
  • Onboard new vendors and being a point of contact for invoices/invoice inquiries pre-AP submission, handling NDAs, Vendor Banking forms, Consultant Agreements, W-9
  • Relay asset deadlines from brief-in date to plan a production/post-production schedule that adequately accommodates the approval process
  • Vendor Management & Onboarding: Manage and interface with freelance vendors and contractors, including vetting, project brief-ins, estimating, onboarding. Manage contracts & documentation for 3rd party vendors.
  • Source products and relay timelines for final product arrivals from Product Development, including bulk, final component, secondary packaging, etc.
  • Identify and resolve production problems with ingenuity and a contagious "can-do" attitude
  • Responsible for booking of the studio and location shoot logistics
  • Support the VP of Creative with all cross-functional content initiatives (video operations pre-pro/production/post, production scoping/bidding/awarding, video content, workload assessment)
  • Maintain a tracking document of prospective models from casting that will be used to obtain approvals from internal and HoG review
  • Act as point-person between Haus Labs internal Creative team & external Production team to facilitate & execute production on approved Creative concept.
  • Manage projects through tools such as Dropbox, Wrike, Figma, etc.
  • Expertise in identifying and recruiting appropriate talent for varying projects
  • Research and maintain a roster of diverse talent and production vendors
  • Create and manage timeline and daily oversight for post-production contractors
  • Co-Management of Content Studio Operations with Creative Producer: Build out processes, roles & responsibilities, best practices for Content Studio Ops. Build content production schedule to support producing ongoing content needs on a fast-turnaround schedule.
  • Model Casting/Booking: reach out to agencies to source potential talent for application shoots
  • Partner with Creative Leads & Cross-functional collaborators to execute on Creative Direction by supporting development of shoot plans, shot lists and logistical execution of photo & video shoots.
  • Initiate and oversee implementation of production process efficiencies with optimization in mind and follows through in implementation
  • Clearly communicate any changes to asset deadlines in the event of a changed delivery
  • Track usage rights, deal memos, onboarding paperwork, model releases
  • Manage pre + post-production timelines & budgets in partnership with Creative Traffic Manager


What We Are Looking For


  • Demonstrated organizational and project management skills, with high attention to detail
  • Strong understanding of the production process
  • Understanding of retail/ecommerce, beauty and industry trends
  • Must be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future.
  • Thorough knowledge of creative process & workflows
  • Ability to manage across multiple teams, projects, and priorities efficiently and effectively
  • Proactive, self-starter with strong initiative and follow-through
  • Production and/or Studio Management experience preferred
  • Possesses strong communication skills, diplomacy & ability to bring clarity to ambiguous or complex situations,
  • Proven ability to multi-task and manage complexity in a fast-paced environment
  • Proficient in G-Suite, Microsoft Excel, Word and PowerPoint
  • Comfort working under pressure in a fluid environment where new projects pop up daily
  • Proficient knowledge of Project Management software (Wrike a plus)
  • Ability to interact effectively and professionally with cross-functional departments
  • 3-6 years of Program Management experience
  • Both an organized & creative thinker with the ability to be flexible and adaptable in a fast-paced environment
